This is the job
We are seeking a dedicated and proactive Personal Assistant to join our team. Reporting to the Digital Business Manager, this role will provide comprehensive and expert administrative support to our Chief Marketing Officer and Digital Leadership Team.
You’ll be responsible for a variety of tasks including proactive diary management, taking minutes and managing actions, general operational support and effective co-ordination of activities. The role will be fast paced but fulfilling and requires excellent attention to detail, discretion, forward thinking and planning as well as strong communication skills and a process-orientated way of working.
What will I be doing?
* Governance & Compliance: Ensure consistency in scheduling forums, create and distribute packs timely, and attend meetings to record and track accurate minutes and actions.
* Diary Management: Organise internal and external meetings, town halls, events, book travel, and process expenses.
* Correspondence Management: Handle basic correspondence with clients and manage internal and external requests.
* Third-Party Administration: Support in raising and executing POs and Statements of Work and manage MyHR processes across functions.
* Reporting and Coordination: Run reports as required and assist with departmental reports' administration and coordination.
* Project Support: Contribute to projects and activities, including project coordination, research, presentation, and communication support.
What do I need?
* Experienced PA/Team Assistant type role providing administrative support within a fast-paced medium-large scale organisation ideally, working with individuals across different business functions.
* Strong experience managing multiple Senior Leader diaries/inbox along with skilled minute taking expertise. Clear and effective communication skills, both written and verbal is essential to this role.
* Self-motivated, proactive, and able to work unsupervised. Flexible by nature with the ability to handle conflicting priorities and travel to various sites when required.
* Excellent planning and organising skills, with the ability to prioritise and manage time effectively.
* Diplomatic and discreet in handling confidential information, with strong judgment skills.
* Proficient in Microsoft Office tools and able to work well in a team environment.
* An interest in Digital and/or Marketing is beneficial.
