Job Description:
As our Procurement and Workshop Coordinator, you will play a pivotal role in ensuring the smooth functioning of our day-to-day operations. Your responsibilities will include assisting with administrative tasks, managing facilities, and providing support to our workshop and purchasing departments.
Key Responsibilities:
* Provide administrative assistance to the Operations Manager and Purchasing Manager
* Ensure deadlines are met and milestones tracked effectively
* Serve as a central point of contact for project-related enquiries
* Create and maintain production files
* Order workshop consumables and project-related items
* Chair weekly packing schedule meetings
* Enter timesheets and chase as needed
* Take an active part in weekly workshop team meetings
* Actively contribute new ideas to our dynamic environment
* Perform monthly board checks to ensure SOPs have been circulated
* Administer and revise Purchase Orders for approval by the Purchasing Manager
* Track orders and liaise with suppliers on order progress to delivery
* Manage indirect suppliers, including packaging, and liaise with the Purchasing Manager on updates
* Run Outstanding Purchase Order Report to identify late orders and issues
* Provide key reports on Outstanding Purchase Orders, Order Progress, and QC issues to the Purchasing Manager
* Update the Purchasing Manager on any delays or issues with suppliers or products
* Ensure packaging is suitably stocked and place replenishment Packaging Orders with agreement on cost from the Purchasing Manager
* Maintain good working supplier relationships and update the Purchasing Manager on any delays or issues with suppliers or products
* Provide support in ordering items for active sales orders
* Ensure packaging is suitably stocked and order when required
* Verify invoices against purchase orders and resolve any discrepancies with accounts payable
* Run stock shortfall report monthly and identify any shortfalls
* Provide general procurement support during periods of holiday and sickness
* Assist with category buying and placing orders for projects, such as medals and corporate
* Administer the submission of Carbon Footprint information to Planet Mark
* Support with buying and placing orders for projects, as required
* Support the Operations Manager with ISO9001
Required Skills and Qualifications:
* Ability to work under pressure and prioritise workload
* Highly organised and effective communicator
* Minimum 1 year's understanding of existing supply chains and production processes
* Ability to work independently and as part of a team
* Ability to work a minimum of 4 days per week at the workshop
