The Role
We’re looking for an experienced and motivated Reception Team Manager to lead our customer-facing reception team. In this role, you’ll ensure the smooth operation of the reception team, overseeing patient interactions and maintaining high standards of professionalism. This position is ideal for someone who excels in leadership, problem-solving, and creating a welcoming atmosphere for patients and visitors alike.
Key Responsibilities
* Team Leadership: Guide, support, and conduct performance evaluations for the reception team.
* Positive Culture: Drive a high-performance culture within the team, fostering an environment where employees feel valued and motivated.
* Task Management: Oversee scheduling, patient communication, and administrative processes through our patient management software, Dentally.
* Data-Driven Decision Making: Use data and KPIs to make informed decisions and track team performance, ensuring continuous improvement.
* Operational Oversight: Act as the point of contact for quick decisions in the absence of senior leadership.
* Customer Service Excellence: Ensure all patient interactions are professional, focused on trust-building, and create a welcoming environment.
* Problem Solving: Address operational and patient-related issues promptly and professionally.
* Recruitment and Training: Lead recruitment, induction, and ongoing training of reception staff.
* Performance Management: Conduct regular appraisals and performance reviews to maintain standards.
* Rota Management: Create and manage the reception rota, ensuring adequate cover and managing overtime.
* Standards and Procedures: Implement best practices to ensure efficient operations and compliance with GDPR and confidentiality guidelines.
* Collaboration with Clinical Teams: Align reception practices with clinical care standards for seamless patient experiences.
Who You Are
You’re an organized, proactive, and calm professional with experience in managing a customer-facing team, ideally in healthcare or dental settings. You’re comfortable leading a team with a focus on positive engagement, collaboration, and high performance.
