We are looking for a full-time experienced Residential Conveyancing legal secretary to join us in our Wolverhampton office - must have a minimum of two years of experience working within a residential conveyancing department.
Key Responsibilities:
1. The prime role of the legal secretary is to provide direct support to their principal(s) to enable them to operate at optimum efficiency. This will include but will not be limited to the main responsibilities given below. The legal secretary is expected to use a high degree of self-management and initiative.
2. Digital dictation.
3. Electronic document production.
4. Diary management.
5. Billing.
6. File opening and closing.
7. File admin and compliance.
8. Dealing with new enquiries.
9. Phone enquiries and assistance with case work as requested.
Additional Tasks:
1. Administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.
2. Prepare mail and enclosures for dispatch.
3. Photocopying and scanning – all large photocopying jobs can be done within CH.
4. Make appointments, arrange meetings, reserve meeting rooms and maintain an up-to-date diary for their principal(s).
5. Prepare the meeting room(s) for meetings and clear the room at the end of a meeting.
6. Provide refreshments for meetings if required.
7. Provide support to other secretaries as required.
8. Provide guidance to junior and temporary secretaries when required to do so.
9. Attend clients both in person and on the telephone and provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
10. Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
11. Ensure the confidentiality of all the firm’s and clients' documentation and information.
