Our Global Pursuits Team provides world class bid support on major pursuits across the globe. Working collaboratively with regional teams on a global scale, we focus on strategic client positioning, target growth sectors and our top 10 Key Client Accounts.
As a Bid Administrator, you will play a key role in supporting the Global Pursuit Team’s work winning activities. Your responsibilities will span from managing team inboxes and tracking new bid opportunities to coordinating the bid information library, ensuring all bid documents are accurately formatted and ready for submission. You’ll be an essential support for technical teams, uploading responses on behalf of regional teams and liaising with internal and external contacts to source information. Through these efforts, you help drive Gleeds’ growth, delivering accurate, compelling bid submissions that meet client needs and standards.
Responsibilities
Responsibilities include but are not limited to:
* Management of the Pursuits Team inboxes, responding to queries, and distributing tender notifications in an efficient and timely manner
* Reviewing and distributing new tender opportunities
* Uploading and managing clarifications across portals for numerous bid opportunities
* Uploading and submitting responses on behalf of regional teams
* Coordination of team trackers, systems and processes
* Updating new opportunities and framework trackers
* Typing and formatting of bid documentation (Word, Excel and PowerPoint)
* Coordinating and updating the bid information library for use in submissions (i.e. CV’s, case studies, images, statistics, and boilerplate text)
* Maintaining membership profiles on tender portals
* Liaising with internal teams and external clients in order to source information
* Assisting the Team with the bid aftercare process, including extracting and saving information for use in subsequent bid submissions
Who we’re looking for
Experience, knowledge & skills:
* Significant administration experience
* An understanding of professional service and/or the building/property industry preferred
* Experience of working as part of a team - needs to have a strong sense of responsibility for the success of the team
* Highly experienced in Microsoft Office Suite, with exceptional Word and PowerPoint formatting skills
* Experienced in Adobe Creative Suite particularly InDesign (desirable)
* Excellent command of both spoken and written English (mandatory)
* An enthusiastic, passionate and determined administration professional
* A positive ‘can do’ attitude
* A team player with excellent communication skills
* Work on your own initiative, and to a high quality
* Able to work to tight deadlines, in high pressure situations
* Meticulous and persevering, with an excellent attention to detail
* Ability to communicate at different levels of the organisation
* Strong time management, planning and organisational skills
* Proactive nature with an ability to show initiative
Qualifications:
* Degree in a relevant discipline (desirable)
* Qualification/s in Business Administration would be preferred, but is not essential
