Job Title Operations Manager Job Description Summary Job Description Location: Ipswich Role Overview: In this role, you will manage the day-to-day operations of the Ipswich site, ensuring that all facilities comply with legal and statutory requirements. You will be responsible for identifying and acting upon business opportunities, managing the helpdesk facility, overseeing compliance and complaints, and leading a team of Facilities Managers and site staff. Your role will involve close liaison with occupiers and contractors, effective management of Health & Safety practices, and a focus on sustainability. Key Responsibilities: - Business Generation: Identify and act on new business opportunities. Contribute to pitches, tenders, and cross-sell Cushman & Wakefield’s products and services. - Helpdesk Facility: Interface with the CAFM provider and Service Desk. Respond to work order requests promptly and ensure the CAFM system is accurate and up-to-date. - Compliance: Ensure all buildings are legally and statutorily compliant. Complete inspections and repairs within specified timeframes. - Complaints Management: Resolve complaints with a solution-focused approach. Communicate and escalate issues as needed, maintaining high client care. - CDM Regulations: Identify works requiring CDM management, appoint principal contractors, and refer technical proposals to the Technical Services team. - Facilities Management Fees: Ensure accuracy in fees for FM, Technical Services, FOH, SHE, staff wages, and CAFM. Review fees annually, invoice increases correctly, and pursue debts. - Contracts and Contractor Management: Manage contractors according to Cushman & Wakefield processes. Conduct spot audits and monitor performance against SLAs and KPIs. - Health & Safety: Oversee Health & Safety compliance and risk assessments. Monitor audits and ensure actions are completed within set timescales. - Human Resources: Follow HR procedures for absence management, performance reviews, and employee development. Conduct monthly one-to-one meetings and manage team welfare and recruitment. - Insurance Claims: Manage insurance claims, ensuring compliance with QA processes and keeping all parties updated on progress. - Occupier Liaison: Act as the escalation point for site issues. Support Facilities Managers and Building Managers in occupier meetings and uphold Cushman & Wakefield’s brand values. - Property Inspections: Conduct regular property inspections, complete actions, and audit sites to ensure compliance with operational procedures. Experience: - Proven experience in Facilities Management and operations within a similar environment. - Strong commercial acumen and ability to identify and act upon business opportunities. - Demonstrated leadership and team management skills. - Experience with Health & Safety compliance and risk management. - Proficient in managing helpdesk facilities and compliance systems.
