Bid Coordinator The IN Group Hybrid, City of London Basic Salary Bonus The Role: In this role you will be working inhouse for The IN Group, a global group of recruitment agencies and talent consultancies. As The Bid Coordinator you will join a busy team of Bids and Contract Professionals working across our 6 brands and will assist with the preparation, coordination, and submission of recruitment proposals and bids. The position requires exceptional organisational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The role is focused on supporting the bid managers and ensuring smooth operations related to bid submissions, client onboarding and all related bid administration. Excellent written and verbal communication skills. Proficiency in Office Suite. Ability to analyse information and make sound decisions. Ability to work in a fast-paced environment with agile prioritisation of tasks Attributes: High level of integrity and ethical standards. Strong interpersonal skills and the ability to work collaboratively with diverse teams. Proactive and solution-oriented mindset. Key Responsibilities: Bid Support: Assist Bid Managers with the preparation and coordination of bid documents and proposals. Gather and compile necessary information from various departments to support bid submissions. Assist with the maintenance of bid records and documentation. Assist with procurement portals – clarification questions and uploading submissions. Portal Registrations: Manage and complete registration processes for various client and procurement portals. Ensure all company information is up-to-date and accurately reflected in portals. Periodic data cleanse of portal logins. Client Onboarding Forms: Complete and submit client onboarding forms and questionnaires in a timely manner. Liaise with relevant internal teams to gather required information and documentation. Company Information Management: Respond to bid-related company information requests from clients and stakeholders. Maintain and update a centralised repository of standard company information and documents for bid purposes. Quality Control: Review and proofread bid documents to ensure accuracy, consistency, and compliance with client requirements and company standards. Ensure all submissions are well-presented and free from errors. Update relevant live activity trackers.
