Job Introduction
The BBC Local Business & Operations Team are recruiting a Business and Resource Scheduling Coordinator to support BBC Local teams in the South West of England. Reporting to the Senior Resource Scheduler, this role will work as part of a team of Business Management and Administration staff in the region. You will provide a wide range of business support services as well as effectively contract and schedule resources including staff, facilities and equipment in accordance with production and transmission requirements, terms and conditions and objectives of the operational areas.
Main Responsibilities
* Responsible for staff resource scheduling in accordance with requirements, terms and conditions and the objectives of BBC Local teams. Ensure rotas, timesheets and leave requests are dealt with in a prompt and timely manner.
* Liaise with business colleagues, project and production teams to ensure that forward scheduling meets future requirements.
* Support contracting and payment of contingent workforce including on-air talent within contracting regulations, identifying requirements for support over peak periods.
* Collating and preparing invoices, raising purchase orders, raising sales orders and processing expenses. Deal with issues or queries arising from invoicing and payments to suppliers, staff, talent and contingent workforce. Working with finance specialist to reconcile financial data.
* Responsible for coordinating team IT requests, user administration and systems access. Ensure those who are joining, moving or leaving the department are equipped appropriately with the right IT and security access to BBC buildings.
* Provide general policy guidance and advice working with divisional specialists (e.g. IT, business continuity, finance and training).
* Be proactive in contributing towards the cost effective scheduling of resources and in particular the management of overtime, freelance and casual spend.
* Provides BBC Local management with business support.
Are you the right person?
* Sound knowledge and experience of a scheduling system together with well-developed IT skills.
* Excellent organisation and planning skills with the ability to assess programme and staffing priorities; to act with minimum supervision and deal with conflicting demands in a busy environment to meet deadlines.
* Has a high standard of accuracy and attention to detail.
* Strong communication and interpersonal skills with the ability to deal discreetly and tactfully with members of staff, ensuring that the BBC Respect at Work policy is adhered to at all times.
* Proficient numeracy skills to analyse and reconcile data.
* Excellent knowledge of or ability to learn the BBC's terms and conditions and policies to enable support of Resource Scheduling.
