Summary:
Our client, a leading facilities management organisation, is seeking a Facilities Coordinator to join their team. This role involves providing support for, monitoring the performance of, and coordinating a small team of multi-skilled operatives. The Facilities Coordinator will develop close working relationships with key client stakeholders/partners, landlords, managing agents, and all facilities vendors. They will ensure that all tasks are completed in a timely and accurate manner.
Responsibilities:
1. Provide support for, monitor the performance of, and coordinate a small team of multi-skilled operatives.
2. Develop a close working relationship with key client stakeholders/partners, landlords, managing agents, and all facilities vendors.
3. Assist in the management of all contractors on site to ensure they perform to the required standards.
4. Assist in the procurement of vendors and services as required.
5. Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner.
6. Ensure prompt and accurate management of purchase orders in the internal financial management platform.
7. Assist with the monthly accrual reports and help monitor the finance trackers.
8. Conduct site inspections, assessments, regular audits, and carry out safety procedures as well as all building procedures, ad-hoc duties, and performance measures.
9. Assist in the implementation of the property risk management programme and industry best practise operations.
10. Maintain premises in neat and good working condition at all times.
11. Support the implementation and monitoring of disaster recovery and business continuity plans.
12. Follow established escalation procedures and incident reporting procedures.
13. Provide support for regular management reports and projects as required.
14. Achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets.
Skills:
15. Ability to work both independently and as part of a team.
16. Self-motivated with a confident and energetic attitude.
17. Excellent verbal and written communication skills.
18. Ability to work well under pressure and be flexible.
Education/Experience:
19. Bachelor's degree in a related field.
20. Strong understanding of Microsoft Word, Excel, and Outlook.
21. Clean driving record required.
