Margaret Howell is a contemporary British clothing designer who has worked successfully in men’s and women’s clothing for over five decades. Today, Margaret Howell clothes are sold worldwide with 12 own shops in Europe, over 100 outlets in Japan and an established online business. We are seeking a highly organised and motivated individual to oversee and coordinate the facilities operations across 8 retail shops, head office, and production location. The successful applicant will ensure all day-to-day maintenance needs are addressed efficiently, health & safety standards are met and contracts are cost-effective. This role will act as the first point of contact for facilities-related issues, coordinate ongoing projects, and provide regular reporting to the Head of Retail. Hours 28 hours per week (option for working flexibly over 4 or 5 days) Main Duties Facilities Management: Serve as the primary point of contact for all facilities-related problems. Ensure ongoing facilities work is completed to standard. Overseeing utilities management, including logging meter readings and liaising with the sustainability team Review external planning permissions and liaise with third party service providers Responding quickly and efficiently to any issues or emergencies Confident communicator with excellent interpersonal skills Comfortable in a hands-on role and happy to get involved on the ground when needed Contracts and Cost Management: Review and renegotiate all existing contracts related to health & safety (H&S) maintenance and other facilities services, identifying opportunities to improve service quality and identify cost savings. Source and manage relationships with contractors and third-party service providers. Operations Coordination: Manage and track daily facilities operations, including maintenance requests, orders, and administrative tasks. Coordinate with shop teams, contractors, and third-party service providers to ensure work is completed on time and meets requirements. Support retail department with shop supplies Invoicing and Cost Management: Oversee and monitor invoices to ensure they are accurate, within budget, and sent to accounts for payment. Track budget, ensuring alignment with targets. Reporting: Provide weekly updates and reports to the Head of Retail, outlining facilities work progress, issues, and cost-saving initiatives. Health and Safety: Monitor all H&S servicing across all locations, liaising with external contractors to arrange appointments, approve quotes and receive completion of work certifications. Keep up to date with multiple external contracting businesses and have the flexibility to attend site last minute if needed. Preferrable but not essential: Proactively identify and implement improvements to enhance shop operations. Have knowledge of health and safety procedures including fire panels, emergency lights testing, risk and fire risk assessments and be able to conduct annual audits across all shops. Ability to conduct ad hoc repairs and installations. Feel confident using power tools.
