Facilities Contract Administrator

About The Role:
We are seeking a Facilities Contract Administrator to join a dynamic team, providing essential administrative, financial, and operational support within a hard services facilities management environment. This role is pivotal in ensuring the seamless execution of hard services contracts. You will manage documentation, ensure compliance records are maintained accurately, assist with financial processes, and maintain communication with key stakeholders. The position is site-based and operates Monday to Friday.
Key Responsibilities:
1. Assist with the management of hard services facilities contracts, ensuring compliance with agreed terms, service levels, and regulatory requirements.
2. Liaise with stakeholders, suppliers, contractors, and internal teams to track service delivery and contractual obligations.
3. Ensure compliance records are correctly maintained and up to date, supporting audits and management reviews.
4. Support the processing of invoices, purchase orders, and budget tracking to ensure accurate and timely financial records.
5. Coordinate meetings, site visits, and contractor appointments for facilities management services.
6. Maintain service schedules for planned and reactive maintenance tasks.
7. Update and manage CAFM systems and asset management databases.
8. Generate and review performance reports on service delivery, contractor compliance, and operational efficiency.
9. Act as the main point of contact for client queries and service requests.
10. Provide site-based helpdesk support, ensuring prompt resolution of issues.
About You:
We’d love to hear from you if you have:
1. Strong PC skills with experience using CAFM systems and maintenance management software.
2. Confidence in communication, with the ability to work independently and as part of a busy team.
3. Proven experience in a contract support or facilities administration role within a hard services environment.
4. Excellent knowledge of planned preventive maintenance (PPM) and scheduling of reactive works.
5. Strong written and verbal communication skills, along with effective negotiation abilities.
6. Ability to work under pressure and meet deadlines.
