About the team and the role: We are at an exciting moment in the development of the Ocado Retail business with a broad base of fundamental business change programmes underway which will step change the capabilities within the business. The Transformation team is responsible for planning, sequencing and executing a portfolio of exciting transformation projects across the business. The projects range from operational improvements to critical and strategic cross-functional programmes. The team needs to ensure the organisation is prepared for the upcoming changes and manage the end to end lifecycle of transformation to ensure business benefits are fully realised and changes are successfully embedded.
Responsibilities:
* Management of the monthly project reporting cycles with project managers.
* Facilitation of the monthly priority projects governance meeting by shaping and agreeing the agenda, issuing pre-read, meeting minutes and actions.
* Building and maintaining excellent relationships with project managers, functional leads and finance business partners.
* Management of risks and issues at portfolio level by working with project managers to understand impacts and interdependencies and escalating appropriately at monthly governance.
* Management of resourcing at portfolio level by working with project managers to understand resource challenges and escalate and provide recommendations at monthly governance.
* Management of project finances at a portfolio level by working with project managers, functional leads and finance business partners to drive discipline in business case development, change control and monthly reporting and benefits tracking.
* Act as the functional owner of Ocado Retail's project/portfolio management & reporting software (FocusHQ) ensuring users are on boarded and liaising with the supplier to maintain and develop requirements.
* Championing the adoption of and adherence to project management processes across Ocado Retail by coaching stakeholders through projects.
* Managing the ongoing development and maintenance of the project management process; lifecycle, stages & gates, templates, documentation, toolkits and guidance. Supporting the People team to maintain the training & development plan for those involved in managing projects; supporting the development of content and sign-posting new starters to training resources.
* Leading the Community of Practice for projects at Ocado Retail; organising sessions to connect those involved in managing projects to facilitate experience sharing, mentoring and skills development.
* Through excellent management of the delivery governance process and supporting planning and prioritisation exercises, support Ocado Retail to develop and deliver a transformation agenda that delivers the ORL strategy successfully.
Who you are:
* Proven experience in managing a project management office (PMO).
* Excellent communication and interpersonal skills, with the ability to engage and influence effectively at all levels of the organisation.
* Experience in managing cross-functional transformation initiatives from concept through to execution in a complex, multi-stakeholder environment, ideally within a retail environment.
* Strong project management acumen and excellent understanding of process and tools. Completion of Project management training (i.e., Prince2, PMP or similar).
* Ability to coach and mentor others to build capability and develop skills.
* Ability to thrive in a fast-paced, dynamic environment and adapt quickly to changing priorities and business needs.
* Strong problem-solving skills with a proactive and results-oriented mindset.
