The Organisation:
A responsible and progressive charity, aiming to provide social justice and support to vulnerable groups of people across the UK; victims of domestic violence, ex-offenders, young people, people with mental health difficulties and those struggling with substance misuse. They are a well-established organisation with a positive market reputation and over 20 years of experience in supported living.
This company is currently operating supported housing services for rehabilitating ex-offenders that have left a prison setting. The service ensures the instilling of independent living skills, positive wellbeing and personal development within ex-offenders, working towards their bettering of life and prevention of repeat offending.
The Opportunities:
1. People Coordinators are employed on a full-time basis, shift patterns 9am till 5pm - Monday to Friday (35 hours per week paid)
2. Competitive pay rates; £17.21 (Umbrella).
3. Contract length will be 12 weeks, maybe an extension.
4. Hybrid working - 2 days office & 3 from home

The People Operations Coordinator will play a pivotal role in supporting the delivery of efficient and effective people processes across the whole employee lifecycle. The role requires a strong focus on process improvement, exceptional customer service, and adherence to organisational policies. This position involves administrative support across the People and Culture team, ensuring confidentiality, accuracy, and compliance at all times.
People Operations
Employee Lifecycle Management:
1. Process starters, leavers, and changes to terms and conditions in a timely and accurate manner in readiness for payroll.
2. Prepare and issue employment-related documentation, including offer letters, contracts, and variation letters, within agreed SLAs.
3. Manage parental leave requests (maternity, paternity, shared parental leave) and flexible working requests in line with policies.
4. Provide TUPE administration support during business transfers.
HR System and Absence Management:
1. Update and maintain accurate employee data in the HR system, ensuring timely input and compliance.
2. Manage and monitor absences, proactively working with teams to ensure absences are closed off in line with organisational policies.
People Team Inbox Management:
1. Monitor and coordinate responses to queries in the People Team inbox, ensuring prompt and exceptional customer service.
2. Escalate complex queries to the Senior People Coordinator where necessary.
Data Management and Reporting:
1. Support the efficient management of Data Subject Access Requests (DSARs) within legal timeframes.
2. Produce basic HR reports, providing accurate and meaningful data for internal stakeholders.
3. Maintain the confidentiality of all written and verbal communications in compliance with data protection regulations.
Customer Service and Collaboration:
1. Respond to employee and manager inquiries, delivering exceptional customer service and championing the People and OD culture.
2. Work closely with other teams to ensure smooth processes and resolve issues effectively.
Process Improvement and Administrative Support:
1. Identify opportunities to streamline and improve HR processes, contributing to the overall efficiency of the People Team.
2. Provide general administrative support across the People and Culture team as required, including organising files, coordinating meetings, and maintaining accurate records.
Learning and Development
1. Support the administration of our induction programme.
2. Accurate and timely processing of booking requests and amendments, including monitoring, and recording attendance at training sessions, issuing joining instructions, where required and working with management teams to arrange venue bookings and facilities.
3. System administration and accurate record keeping within our learning System.

Person Specification:
ESSENTIAL SKILLS, KNOWLEDGE AND EXPERIENCE
1. Experience of dealing efficiently with a range of enquires from a busy inbox.
2. Experience of preparing accurate data for payroll and for the production of specific management information/reports, using HR systems and databases (or similar).
3. Evidence of IT skills and the ability to quickly learn new systems.
4. Effective organisational and planning skills, with the ability to re-prioritise as needed.
5. Commitment to providing good customer service, adapting communication style as appropriate to differing situations.
