West Midlands Police's Learning and Development Department's main training site is based at Tally Ho Training College, Pershore Road, Edgbaston, Birmingham.
A range of training is commissioned, designed and delivered from this site, including Personal Safety Training, First Aid, Investigative Training, ICT, learning programmes for all new student Officers, Police Community Safety Officers and Detention Escort Officers.
The training provision from this site is increasing to include Public Order and Tactical Training and therefore an already busy and thriving workplace is set to become even more of a centre of excellence for West Midlands Police.
Main Purpose of the Role:
With the day to day support of site Duty Manager, the role will undertake Front of House and general administrative duties working mainly within the reception area of the main building.
Key Responsibilities:
* To be the first point of contact, welcome and assist visiting staff, trainers and trainees, contractors and members of the public and ensure they overtly display appropriate identification and they are able to securely access and egress Tally Ho premises.
* To maintain a register for recording the issue and return of all visitor passes and ensure departmental staff are available to sign in and escort their visitors as necessary.
* To assist with enquiries and telephone calls made from staff, trainers and trainees, contractors and members of the public, redirecting them as appropriate.
* To be responsible for the safe receipt and appropriate redirection of incoming/outgoing post and goods.
* To use the public address system in accordance with local procedures.
* To participate in fire marshal training to assist with enabling the building evacuation plan in the event of a fire or bomb threat.
* To maintain an inventory and supply of building and accommodation keys and physical access cards.
* Monitoring of CCTV cameras and intercom for external/internal visitors, lifting of barrier for deliveries when required.
* Provide directions to staff and visitors in relation to the location of classrooms and building infrastructure.
* To manage the process of lost property and make reasonable enquiries to identify owner for return/collection.
* Routinely engage with the Lord Knight Suite (LKS) Caretaker/FM team and Sports and Wellbeing team to capture the events taking place in the conference centre. Signpost delegates to LKS events and facilitate their access if/when required.
* To provide general administrative support.
* To manage overnight room bookings and payments in accordance with financial processes.
* To carry out any other duties commensurate with the purpose and grading of the post that may from time to time be determined.
Knowledge & Experience
Essential:
* Effective communication skills, with an enquiring, professional, empathetic, reassuring approach.
* Must have good IT knowledge, Excel, Word, etc.
* At least 2 years' experience in working in a similar business environment.
* Must be customer-focused and can deliver a high standard of customer service.
Desirable:
* Educated to GCSE standard, grade A-C or equivalent in English and Maths.
* Familiar with and skilled in the use of Microsoft Office Word, Excel, Outlook.
* General office experience.
Skills:
* Excellent communication skills including verbal and written.
* Excellent interpersonal and organisational skills.
* Ability to prioritise workload and work to tight deadlines.
* Ability to problem-solve.
* Ability to develop effective working relationships.
Location: Tally-Ho Police Training College, Edgbaston, Birmingham
Hours: Monday to Friday 0800 x 1600, however we do have a flexible working scheme.
Vetting: Successful applicants will be required to pass Recruitment Vetting and Counter Terrorism Clearance scrutiny prior to commencing their role, this will include a full background & financial disclosure as part of the vetting process.
Medical: Appointment to this role will be dependent upon successfully passing medical checks, which may include a drugs test and if required a fitness test.
