Duties & Responsibilities
Purpose
The primary responsibility of this position is to assist manager(s) and/or staff members in the course of day-to-day business activities.
Functions
ESSENTIAL
• Assist SSR Product Managers with the preparation, formatting and updating of presentation material.
• Gather Market Intelligence reports and make available with the wider team.
• Ensure standardised template material is utilised and shared across the team to facilitate a consistent approach to projects.
• Organise and facilitate group workshops, for example using MS Whiteboards.
• Manage the SSR Product Management SharePoint Site
• Maintain calendars and schedules.
• Compose and type routine correspondence, prepare and update spreadsheets, and create presentation material.
• Arrange and coordinate travel schedules and reservations.
• Coordinate and arrange meetings and luncheons, prepare agendas, reserve and prepare facilities.
• Assist with data maintenance and reporting for various business systems which could include, but not limited to: Peoplesoft, LMS, PLM
• Organize and maintain file systems.
• Open Project numbers in Peoplesoft and PDM system.
• Sr. Management expense report generation.
• Booking/Managing LMS and 3rd party course assignements .
• Assist in organizing travel and accomodations for Sr. Management.
ADDITIONAL
• Support for Aberdeen Office Facility
• Other duties as assigned.
Supervisory Responsibilities
• This position has no direct supervisory responsibilities.
Reporting Relationship
• May report to various levels of management from Supervisor to VP
• May take direction from professional staff
Qualifications
REQUIRED
• Experience in related adminstrative and clerical function
• Experience with standard email and internet systems
• Basic skills with MS Office applications
• EPDM
• CRM
• Confidentiality of discussions/emails/documentation from Sr. Managment
DESIRED
• Experience in related industry
• Knowledge of PeopleSoft or similar business system.
