Salary: £34,000 – £38,000 (depending on experience) plus discretionary bonus
Hours: 40 per week – 5 days in the office
Monday-Thursday: 08.50-18.00
Friday: 08.50-17.30
Job Purpose
To provide administrative support to the Lettings Team in a range of duties including answering the telephone, assisting with the marketing of properties, maintaining performance and property records, arranging tenancy agreements, and coordinating and arranging all other administrative support as required by the lettings team.
The lettings administrator is a proactive and organised individual who will be able to carry out tasks through to successful conclusion. Organised, efficient, and able to work quickly and accurately under pressure, the lettings administrator is a key figure in maintaining the highest levels of customer service.
Key Responsibilities
* Produce and finalise tenancy agreements and perform in accordance with agreed quality and productivity targets.
* Answer the telephone and deal with any client/applicant/tenant queries promptly and professionally.
* Take messages where necessary and pass them on to the relevant person within the team.
* Welcome visitors into the office and deal with any lettings queries they may have.
* Maintain an accurate record of the allocation and movement of property keys.
* Process application forms and maintain performance databases.
* Assist in the reference and credit check process for new and prospective tenants.
* Maintain databases, ensuring property, client, applicant, tenant, and tenancy details are always up to date and accurate.
* Assist in the production of marketing and promotional material.
* Update the website, as required.
* Download photographs, altering if necessary and adding to website and marketing material.
* Produce correspondence on behalf of team members.
* Arrange inventory check-ins/outs and cleans.
* Using our existing templates, regularly update materials for our Hudsons Wall and website using PowerPoint and Canva.
* Assist Property Managers in obtaining quotes, and appointing/monitoring contractors.
* Coordinate gas safety certificates, electrical certificates, and EPCs.
* Provide full office support, including typing, data entry, photocopying, electronic and paper filing.
* Reception cover on a rotational basis with other administrators.
* Contact utility suppliers to inform of change of occupants and deal with any historic events that may arise.
* Carry out any such ad hoc duties as may be reasonably required from time to time in connection with the above.
* Work collaboratively with the Sales Administrator, gaining a thorough understanding of the role to provide mutual support, ensure seamless holiday cover, and assist each other during peak periods.
* Open the post and deal with any voicemail messages.
Requirements & Person Specification
* Good working knowledge of Microsoft Office software and willingness to learn new software packages.
* Previous experience in an administrative/customer-facing role.
* Good business writing skills – grammar, punctuation, and spelling.
* Excellent approach to customer service/client care.
* Understanding of property terminology.
* Confidence in own abilities.
* Experience of dealing with difficult people.
* Excellent business writing skills.
