JOB DETAILS Job Title: Health Care/Admin Assistant Reports to: Team Manager/B7 Team Leader Accountable to: Matron Band: 2 Hours: 26.25 hours per week (Monday to Friday) Location: St Lukes Hospital/BRI Department: HIV Service Division: Urgent Care. 2. JOB PURPOSE To assist in the delivery of high quality care to patients, visitors and staff by ensuring the efficientrunning of the HIV service. To assist qualified nursing staff to deliver direct/indirect quality clinical care to patients under the care of HIV service. The job holder will provide reception duties and administrative tasks, typing patient letters and provide full administration clerical support to the HIV Team. The job holder will deal with telephone calls and enquiries from the public, internal and external sources and other Health Care Providers, ensuring that they are dealt with accurately, in a timely, polite and courteous manner. The job holder will have extensive involvement with the Nursing Team, Clinicians and Service Managers across the Trust to ensure that patients are treated in accordance with the Trusts policy and procedures. Work within defined limits and competence whilst using own initiative with remote indirect supervision by the sister or other registered nurse. 3. JOB DIMENSIONS The main purpose of the job is to provide a comprehensive administrative service and clinical support the HIV team to ensure smooth delivery of all services within the Directorate. The post holder will need to be highly organised, able to work without direct supervision, and be an excellent communicator, with the ability to support the team in the day to day operation of the services they provide. 5. PRIMARY DUTIES & AREAS OF RESPONSIBILITY General Healthcare Responsibilities Contribute to the ongoing support of patients and their relatives throughout their time within HIV service in Bradford. To act as first point of welcome for telephone enquiries, providing assistance and advice wherever possible. Ensure that all telephone calls are dealt with in a timely, polite, professional and courteous manner. Reception duties, including greeting patients/visitors, booking patients into clinic, dealing with incoming post. Prepping a clinic. Ordering clinical stock/stationary. Taking messages in a clear and concise manner and where unable to assist the caller immediately, investigations to be carried out and a return call made to give accurate updates. To provide full administrative support to the HIV Admin team typing general correspondence letters, scanning documents, photocopying, reviewing referrals, opening mail, reviewing incoming/outgoing emails and dispatching documents by post and email To assist the HIV admin team with appointments in making, amending and cancelling new and review appointments. To effectively and efficiently administer and maintain all relevant IT systems. The systems could include EPR, Mill systems and ICE using Excel, word, internet and outlook email. In accordance with Trust policy, book or cancel interpreters and transportation as requested by referring clinician. To carry out healthcare checks including blood pressure, weight, height on patients. Urinalysis. Taking bloods. Restocking of clinical supplies. Cleaning of equipment/treatment room. Work within Trust and Department standards and policies. This includes written and verbal instructions. To recognise and deal with difficult situations, and utilise procedures and policies to minimise violent and aggressive behaviour. To ensure patients are treated in accordance with Equality Act 2010 and that facilities are made available to ensure equity of treatment. To handle issues and complaints raised by patients and visitors in a courteous professional manner escalating to the Senior CNS or Sister if appropriate. To have knowledge of the Patient Advisory Liaison Service (PALS), when, how and why it can be accessed. To ensure confidentiality of information relating to patients, relatives and staff. To be able to resolve contentious and sensitive issues in a professional manner. Assist or participate in the training of staff, including temporary staff. Works in close liaison with the HIV team to assist in the smooth running of the services within the Directorate and to undertake other administrative duties as delegated by the CNS Team, Senior Administrator as and when required. Assist with obtaining, transmitting and storing information related to the delivery of a care service. Provide patients with information about the department and specified procedures as necessary. Support the team in care delivery to patients in specialist areas of the HIV service.. Communicate effectively to ensure appropriated handover of information to all service users, including verbal and clear, concise written information, respecting confidentiality. Support the team with patient medication deliveries/queries. Liaising with the home delivery company, BRI and SLH pharmacy. To be actively involved in the departments infection prevention and control programme, to achieve local and national infection control standards and targets. Contribute to minimising the effect of disruptive, abusive behaviour and the protection of individuals from abuse, complying at all times for Health & Safety/Risk Management detailed below. Be aware and contribute to the clinical governance agenda. Any other duties as required and appropriate to the level of this post.
