Purpose of the role We are seeking a highly motivated and experienced Accounts Payable Assistant to join our dynamic Finance team. The Accounts Payable Assistant will be responsible for processing vendor invoices, ensuring timely and accurate payments, reconciling accounts, maintaining proper records. The individual in this role will also support the Finance department and work closely with our internal and external stakeholders. Key Responsibilities: Invoice Processing: Review and verify invoices for accuracy and process through paperless Payment Processing: Prepare payment runs ensuring suppliers are paid in line with company policy and accounting regulations Vendor Communication: Communicate with vendors regarding payment status, discrepancies, and other inquiries resolving any payment or invoicing issues. Account and bank Reconciliation: Reconcile statements with accounts payable records to ensure consistency and identify any discrepancies Supplier direct debit allocations: Ensure direct debit payments are posted and allocated to the correct account and invoice Expense and credit card Management: Manage employee expenses and credit cards using Web Expenses VAT: Good understanding of VAT regulations Supplier database management: Ensure supplier database is always kept up to date Ad-hoc Tasks: Assist with month-end and year-end closing procedures, as well as any special projects or tasks assigned by the Transactions Team Leader Experience: Circa 2 years previous experience in an accounts payable or similar role Experience with Sage Intacct or a similar system preferred Experience using Microsoft Office including Excel Skills: Strong understanding of accounts payable processes and financial procedures Excellent organizational and time-management skills Strong attention to detail and accuracy Ability to work under pressure and meet deadlines Excellent communication and interpersonal skills Personal Attributes: Reliable and trustworthy with confidential information A proactive problem-solver Willingness to learn and improve processes Ability to work independently and in a team environment Competencies: Create Solutions: Understand internal and external stakeholders needs, support solution creation, monitor work quality, and learn from mistakes Focus on Success: Demonstrate patience and persistence, understand the impact of your activities, and adapt accordingly Strive for Results: Understand work objectives, organise tasks, seek feedback, and take ownership of actions Grow within a Team: Build relationships with colleagues, integrate into the team, appreciate different viewpoints, and prioritise team success Why you should join ARC Inspirations We are passionate about our people and building the best teams. ‘Care’ is one of our core values, and we really care that every team member loves their job.
