Summary: The ideal candidate will provide administrative support to ensure efficient operation of the office. Responsibilities include managing calendars, scheduling meetings and appointments, preparing correspondence, and maintaining filing systems. The successful candidate must have excellent communication and interpersonal skills, attention to detail, and the ability to multitask effectively. Previous administrative experience and proficiency in office software are preferred. Essential Duties and Responsibilities: Responds to inbound phone and email requests for services. Answers phone calls in a pleasant and professional manner with a clear voice. Adheres to the phone script. Avoids all distractions when communicating with a Customer. Requests and records customer information. Listens to Customers without distraction to gather information on the Customer's contact information, needs, concerns, and any information that the Project consultant needs to know. Asks for clarification where necessary. Records required information on the lead sheet, in the CRM software, and other databases as required. Books appointments for Project Consultants. Opens the scheduling software and determines which Project Consultant would best fit the Customer's needs and schedule based on the type of work requested, the Customer's location, and the availability of open appointments in each Project Consultant’s schedule. Identifies the best fit for the Customer and works with the Customer to find a day and time that works for both parties. Records that appointment in the scheduling software for the selected Project Consultant. Follows up with Customers if a cancellation is received. Responds to Customer cancellation requests by requesting and recording information as shown on the phone script and forwarding that information to the Project Consultant for follow-up. Directs inbound call traffic to appropriate parties. Answers phone calls in a pleasant and professional manner per the phone script, requests information from the caller regarding their needs, and forwards the call to the appropriate party. Provides remote coverage for Sales Schedulers located in satellite offices. Ensures that calls forwarded from satellite offices (due to vacation, illness, meetings, etc.) are properly and seamlessly handled, and that the Customer is not inconvenienced by having their call transferred. Provides direct administrative support for one or more Company executives. Seeks to improve productivity and results for this position on a daily basis. Follows all Company safety rules and operating procedures, practices and guidelines. 10. Completes other tasks as assigned by Management. Requirements: A high school diploma or equivalent. 2-4 years of experience working in an office environment in an administrative or support function role. Construction experience is a plus. Familiarity with multi-station phone systems, voice mail, and transferring calls. 4. Basic 4-function math skills: addition, subtraction, multiplication, and division. 5. Familiarity with using computers and a service-oriented CRM software. Excellent customer service skills, including the ability to keep calm and be clear with challenging Customers, staff, and vendors. The perseverance to keep pursuing solutions even when Customers, staff, or vendors are not cooperative. Strong oral and written communications skills when interacting with Customers, staff, management, or vendors. Strong abilities to multitask, prioritize activities, and react quickly to changing information. A valid driver's license with no DUIs and no restrictions on driving for company-related business. 11. A reliable and insured personal vehicle to ensure a prompt start to the working day. Desirable personal traits including honesty, integrity, accuracy, high standards, fairness, and good listening and time management skills. No restrictions or requirements preventing the ability to work in the US for any US company.
