PART TIME LEGAL SECRETARY

An exciting opportunity for a Part Time Legal Secretary to join a reputable Reading based law firm.
Supports: Two Commercial Property Partners, A Chartered Legal Executive and a Solicitor - Reading office
Reason for Need: Replacement
Salary Range: £25,000 - £28,000 (FT equivalent) depending on experience
This is a part time role, 3 days a week, Wed-Fri – office based
SELECTION CRITERIA
Key Skills/Qualifications:
1. RSA stage 1 or 2; Min. 60wpm with min. 80% accuracy; Audio and copy typing skills
2. Good written and spoken English; polite professional telephone skills
3. Good working knowledge of word
4. Confidentiality essential
Experience Requirements:
1. Specialist property legal experience and good general secretarial experience essential
2. Excellent organisational skills

GENERAL DESCRIPTION OF JOB
1. Types, corrects and amends a variety of legal correspondence and documentation.
2. General administration duties including, keeping case/client files up to date; creating new files; referencing; general filing. Ensuring familiarity with lawyer's clients & cases.
3. Professionally answering internal and external telephone calls and efficient message taking.
4. Keeps own and lawyers diaries up to date. Book meeting rooms as necessary.
5. In solicitors absence checks post/voicemail and email ensuring urgent matters are dealt with.
6. Provides holiday/absence and pressure cover for other secretaries as needed.
7. Prepare client bills for lawyer review and approval. May undertake chargeable work as directed by lawyer.
8. Is familiar with and adheres to firm's policies and procedures.
9. Willing to undertake all jobs to ensure smooth running of office.
Other Responsibilities:
1. Undertaking online and paper searches (knowledge of all searches and how to apply for them is very important e.g. Index Map Searches, commercial drainage and water enquiries etc).
2. Amending leases, contracts and reports. Collating documentation ready to send out to client.
3. Obtaining precedents from books or online.
4. Land Registry applications.
5. Prepare draft SDLT returns.
6. Submit SDLT returns online.
7. Undertaking billing monthly including preparation for narratives from the system, letters and emails.
8. Managing monthly reporting for major clients.
9. Regular updating of deeds bible for major clients.
10. Overall knowledge of a whole general commercial property transaction is also quite important.
