Experienced GP Administrator/Receptionist
We are a large organisation serving the needs of over 10,400 patients in Reddish, Stockport.
We offer NHS Pension.
Although an NHS organization, we are a contractor of the NHS and therefore do not offer agenda for change.
Hours of work: 25 hours per week, from 8am - 1pm, Monday - Friday.
Main duties of the job
The following are the core responsibilities of the administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. Maintaining and monitoring the practice online requests from patients usually sent via Accurx.
2. Process and monitor the generic email inbox throughout the whole day.
3. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately. Covering reception phone lines from 8am- 9am daily.
4. Process registration.
5. Signpost patients to the correct service.
6. Process incoming and outgoing mail.
7. Initiating contact with and responding to, requests from patients, team members and external agencies.
8. Workflow of medical documents.
9. Secretary work, including dictation work on Lexacom.
10. Process all DNA letters in accordance with current policy.
11. Referrals using the ERS system.
12. File and store records.
13. Input data into the patients healthcare records as necessary.
14. Deductions including sending and receiving of paper medical records.
15. Scanning of patient documentation and attaching scanned documents to patients healthcare records.
In addition to the primary responsibilities, the administrator may be requested to:
1. Complete opening and closing procedures of the building.

Job responsibilities
The following are the core responsibilities. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. Maintaining and monitoring the practice appointment system.
2. Process personal, telephone and e-requests for appointments.
3. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately.
4. Signpost patients to the correct service.
5. Initiating contact with and responding to, requests from patients, team members, and external agencies.
6. Read code data on EMIS and Docman.
7. Data entry of new and temporary registrations and relevant patient information as required.
8. Input data into the patients healthcare records as necessary.
9. Direct requests for information, i.e. SAR, insurance/solicitors letters and DVLA forms to the administrative team.
10. Manage all queries as necessary in an efficient manner.
11. Carry out system searches as requested.
12. Maintain a clean, tidy, effective working area at all times.
13. Monitor and maintain the reception area and notice boards.
14. Support all clinical staff with general tasks as requested.
In addition to the primary responsibilities, the medical administrator may be requested to:
1. Partake in audit as directed by the audit lead.
2. Support administrative staff, providing cover during staff absences.
3. Action incoming faxes when necessary.
4. Scanning of patient-related documentation and attaching scanned documents to patients healthcare records.
5. Complete opening and closing procedures in accordance with the duty rota.
6. As required support the Prescribing Clerk in the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
7. Ordering and monitoring of stationery supplies.
