We are looking to recruit a 22.5-hour Scheduling Assistant on a permanent basis to support our Community Dental team based at various locations across Sunderland, South Tyneside and Gateshead.
The post holder will join a team of administrative support staff who provide essential administrative functions, whilst interfacing with clinical and administrative staff, patients and the general public. The service is fast-paced, and you would be expected to carry out a variety of administrative tasks.
Candidates must be able to demonstrate they have the ability to communicate effectively with people at all levels by telephone and in person. Excellent organisational skills, flexibility and time management are also essential. Accurate data input skills are essential.
The successful candidate should have excellent keyboard skills and a working knowledge of software packages and IT systems.
You may be required to cover other reception areas at short notice when required.
Working Hours: Monday & Wednesday 8.30 17.00 (1 hr lunch), Friday 8.30 16.30 (half hour lunch)
Main duties of the job
The successful candidate should be hardworking and patient-focused. They should also be organised and have the ability to prioritise their workload without direct supervision. Candidates should have experience in using various IT systems.
There is an expectation to work between the hours of 8.30am and 5.00pm Monday to Friday. The successful candidate will need to have a flexible approach to work and be adaptable to service needs as in times of shortfalls there will be an expectation that they cover clinics at either South Tyneside, Sunderland or Gateshead.
The successful candidate should have excellent communication skills with attention to detail, ensuring accurate and timely inputting/updating of patient details, appointments, and information into clinical records.

Job responsibilities
To enter patient referrals, arrange new and review outpatient appointments, and to register patient attendances adhering to agreed procedures.
To provide Contact Centre and Reception cover across the Outpatient Services Department, providing both direct and indirect support to patients/carers pertaining to dental appointments.
To actively prepare and manage dental notes for clinic appointments.
