About the job
The Purpose of the role is to provide professional, efficient and comprehensive administrative support, carrying out specialist and general office duties, resolve problems and role model best practice. This post is open to applicants who can meet the College’s nationality, UK residency and vetting requirements.
Responsibilities & Tasks
* Provide line management supervision and direction to a team of administrators, ensuring consistency and high standards in service provision.
* Provide a full administrative service to include typing, email, data entry and create, maintain and back up files and databases to track activities and workload. Maintain college web pages as directed.
* Develop and maintain good internal/external stakeholder relations, ensuring all interactions are dealt with in a professional and timely manner and redirect as necessary. Ensure security of access to premises by providing a first level reception service to callers.
* Develop, maintain and update office filing systems (digital by default) to ensure appropriate and efficient monitoring, tracking and retrieval of records in compliance with College of Policing Information Security procedures and Data Protection and Freedom of Information principles and provisions.
* Compile, analyse and summarise data to produce a range of management reports, in accordance with business needs, for example course statistics, registrations, financial information including income and cancellation data, and portfolio and assessment submissions.
* Coordinate events using appropriate technologies including CourseBooker and Outlook, including booking rooms and equipment, scheduling attendees and arranging refreshments as required. Arrange for travel, catering and accommodation to be booked in accordance with College of Policing procedures.
* Role model and share best practice in the use of College systems and technology and provide training and mentoring as required to colleagues in the use of systems in accordance with the standards set by the College of Policing (i.e. CourseBooker, SAP, CASA, other business support systems).
* Schedule and attend meetings with internal and external participants. Using appropriate technologies including CourseBooker and Outlook, book rooms and equipment, prepare and issue agendas and take, produce and circulate timely and accurate minutes, maintaining a comprehensive and continuing record of decisions made and actions required.
* Maintain a safe working environment by monitoring, reporting and arranging the rectification of office equipment, cleaning and maintenance faults.
* Use College systems to make small value purchases, generate, reconcile and monitor purchase orders and receipt deliveries. Where appropriate, monitor invoices against prescribed budget limits.
Essential Criteria
* Proficient in MS Office applications.
* Expert in Minute taking skills.
* Expert Proof Reading skills.
* Excellent verbal and written communication skills with customer-focused attitude and telephone manner.
* Excellent standard of planning and organisational ability.
* Ability to prioritise work to ensure deadlines are met.
* Ability to work in a pressurised environment dealing with a range of tasks simultaneously.
* Ability to work on own initiative and as part of a team.
* Previous administrative experience with demonstrable organisational ability and attention to detail.
* Clearly demonstrate accuracy and attention to detail.
* Experience of scheduling meetings or events, preparing agendas and documentation, taking and drafting accurate minutes.
* Level 3 qualification (e.g. A-levels, NVQ level 3 in Business Administration or similar) or extensive equivalent level experience in a related area.
* GCSE Passes in English Language and Mathematics or equivalent qualifications.
Desirable Criteria
* Ability to take shorthand for Minute taking.
* Knowledge of Data Protection and Freedom of Information Legislation.
* Knowledge of software packages such as SAP, e-procurement and specialist policing systems if relevant to role.
* Knowledge of UK policing environment and Police Services geography.
Other information
* Must Promote College of Policing Code of Ethics and Integrity principles.
* Vetting requirements may vary according to role (NPPV2/CTC).
* Role contributes to the performance of the team and flexibility is required to support the wider business needs.

Salary
£24,920 (National £24,920 - £25,446. All salary uplifts are subject to the annual central pay remit. Time-served pay progression does not apply).
Hours
Monday to Friday, 09:00-17:00, full-time, flexible working, hybrid opportunities can be discussed.
