Wellhall Medical Centre are a large friendly practice based in Hamilton. We are currently looking for a full-time administrator/receptionist (37 hours) but will consider 2 part-time posts (20 hours per week each) to join our very busy team.
We are looking for an enthusiastic, reliable, kind, empathetic, self-motivated, organised and friendly individual with excellent communication and interpersonal skills to join our very busy and friendly practice. You must be able to maintain a calm, controlled and positive attitude in a very demanding work environment.
JOB DESCRIPTION: Medical receptionist/Administrator
GRADE/SALARY: Grade 1 £24,518, rising to Grade 2 £26,763 dependent on experience.
HOURS OF WORK: Monday - Friday between hours of 8.00am & 6.00 pm
ANNUAL LEAVE: 22 days per annum plus 10 statutory/local public holidays (pro rata), rising to 25 days after 5 years service
RELATIONSHIPS: Accountable to the Practice Manager
KEY REQUIREMENTS:
* Previous experience of working in a GP surgery/similar environment preferred.
* The ability to carry out tasks efficiently with accuracy and attention to detail.
* The ability to multitask in a fast-paced environment.
* The ability to communicate effectively with patients and all members of the Primary Health Care Team.
* The ability to handle sensitive, confidential situations with discretion, tact and diplomacy.
* The ability to work as part of a team, exercise common sense and judgement, and act on own initiative in a fast-paced environment.
* Excellent IT skills.
MAIN DUTIES & RESPONSIBILITIES
* Dealing with general enquiries in a courteous and efficient manner, explaining Practice policy and procedures, maintaining patient confidentiality at all times.
* Receiving and directing patients on arrival.
* Efficient operation of telephone system.
* Making new and follow-up appointments in line with Practice policy using computerised appointments system (Vision) ensuring accuracy at all times.
* Receiving and recording of telephone messages for GPs ensuring accuracy of patient details and sufficient information to allow GP to determine priority of response.
* Receiving requests for repeat prescriptions.
* Receiving and recording requests for home visits, dealing with urgent requests appropriately.
* Sorting incoming mail and directing to appropriate Team member. Dealing with outgoing mail as required, to include postage of external franked mail at set times.
* Maintaining accurate, up-to-date information in electronic patient record, e.g. change of surname, change of address (after confirming address within Practice boundary), etc.
CONTINUED OVERLEAF
* Maintaining an efficient record system, including:
* Accurate filing of records, relevant correspondence and reports.
* Incorporating notes of new patients received from Practitioner Services Division (PSD).
* Action electronic lab results and hospital correspondence as directed by the GPs, and conveying results of tests, etc. to patients following GP instructions, and strictly adhering to confidentiality protocols.
* Registration of new patients, ensuring patient’s address is within Practice boundary and all documentation is fully completed and signed by the patient prior to passing to GP for acceptance. Thereafter, recording patient details, entering patient details on computer system, ensuring no duplication of patient records.
* Receiving payment from patients for non-NHS services.
* Advising patients of ambulance transportation process to allow them to book transport to attend hospital clinics, etc.
* Ordering ambulances at request of GP, including recording all relevant information on appropriate form for passing on to Scottish Ambulance Service (SAS).
* Ensuring that the reception area is left tidy and ready for use by colleagues, together with information about any unresolved queries or matters requiring attention.
* Front desk receptionist to tidy waiting areas at end of shift.
Other duties
* In addition to the duties listed, any other relevant duties as requested by the Assistant Practice Manager, Practice Manager or GPs.
* Maintain at all times a cheerful and helpful attitude towards patients and all members of the Practice Healthcare Team; liaising with relevant staff as necessary.
Special requirements
* Excellent IT skills essential.
* Experience of use of Microsoft Office applications desirable.
* Ability to work on own initiative and without direct supervision and determine workload priorities.
* An understanding, acceptance and adherence to the need for strict confidentiality.
* Good communication skills.
* Demonstration of team player skills and ability to work amicably within a busy office environment.
* Ability to rapidly adapt to changing working processes.
