The role is an exciting opportunity to lead on the rebuilding of practices to ensure long term sustainability and the delivery of high-quality services to patients. The postholder will work across 3 practices as required, Cullybackey Family Practice, Larne Medical Practice and Portstewart Family Practice and be supported by the Partners, a team of salaried GPs and Admin staff to deliver on agreed objectives. The current practices within the group are: Cullybackey Family Practice 7070 patients Larne Medical Practice 8349 patients Portstewart Family Practice 3478 patients Key Relationships Group Business & Operations Manager will work closely with, build and maintain successful working relationships with: Practice Partners Practice Clinical Lead(s) Senior Receptionists Job Summary The Group Business & Operations Manager will be responsible for leading all aspects of Practice business management, motivating, and managing staff, optimising efficiency, and financial performance. They will ensure the practice achieves its long-term strategic objectives in a safe and effective working environment across all sites. The post holder will be directly accountable for the core day-to-day non-clinical operations across the three Practices. The post holder will strive to deliver the best possible service to our community in line with our values. The Group Business & Operations Manager will adopt innovative ways of working, lead the team in promoting change, quality and continuous improvement, collaborative working, service delivery, learning and development and ensure the practice complies with governance regulations. Key Responsibilities The following are the core responsibilities of the Group Business & Operations Manager. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels. In addition to successfully overseeing the day-to-day operations of the practices and ensuring staff achieve their primary responsibilities, the postholder will lead and manage the following areas: People Management Provide leadership for all practice staff, ensuring that clear lines of reporting, delegation, and communication exist, with strong focus on appraisals and staff development. Lead and work with the staff to develop a culture of quality improvement and continuous improvement. Mentor staff and support the practice team through the change management project Utilise strong decision-making ability to make informed decisions to drive the change initiative forward and lead other managers to support this and reach the organisational goals. Ensure compliance with HR legislation Operational management The partners aim to rebuild practices that have had to hand back their contract into effective and sustainable practices. This is in essence a QI and continuous improvement project. The postholder will lead the project and: Lead, guide and support the practices through a significant period of change both internal and external. Demonstrate ability to consider options, produce plans, business cases and desired outcomes, deliver improvement plans, develop budgets, and undertake negotiations as required. Responsible for the provision, co-ordination, and review of non-clinical support services for the practices. Support the partners in assessing, taking on, and re-building other Practices within the group structure where required. Develop and implement a comprehensive Patient Participation program Oversee all patient relationship management including the involvement of patients in practice development plans and communication to patients and stakeholders. Represent the practices at external meetings, build relationships, influence effective change and be involved with local strategies. Collaborate with healthcare professionals and stakeholders to identify areas for improvement and define measurable objectives. Analyse performance data to identify trends, outliers, and areas requiring intervention. Coordinate and lead the compilation of practice reports and the practice development plans (PDPs) Act as the primary point of contact for Strategic Planning and Performance Group, community services, suppliers, and other external stakeholders. Ensure the team reach General Medical Services contract targets where applicable (supported by the nursing and administrative leads) Managing the recruitment and retention of staff Deputise for the partners at internal and external meetings where required. Maintain practice websites Compliance & Governance Regulation Ensure that key protocols are understood and implemented within the Practices, including Clinical Governance, Significant Event Reporting and reviews, Infection Control and Complaints. Ensure that protocols and policies are developed, maintained, and adhered to, in line withpractice policies. Ensuring all practice policies and procedures are up to date. Ensuring the practices maintain compliance with its contractual obligations. Ensure effective management of all complaints in line with current legislation and guidance. Stay abreast of healthcare trends, changes in healthcare regulations, and emerging best practices in quality improvement. Oversee the management of the premises, including health and safety aspects such as risk assessments and mandatory training Ensuring compliance with IT security andInformation Governance protocols Partake in audit as requested by the audit lead Financial management Managing the financial elements of the practices, including budgets, bank account and accounting system, petty cash, etc. seeking to maximise income and reduce expenditure in conjunction with the partners. Maintaining an effective liaison with the accountant, overseeing practice accounts, ensuring year-end figures are presented. Support the overall financial management of the Practices to ensure profitability and financial probity in accordance with financial guidelines and legislation. Managing and processing PAYE and pensions information for salaried GPs and staff and ensure information is provided in a timely manner. Ensure the practices have appropriate insurance. Procurement Managing the procurement of practice equipment, supplies and services. Personal Specification Essential Criteria Educated to Degree level A minimum of 5 years experience of successfully leading and managing a multidisciplinary teamdemonstrating leadership skills, fostering a collaborative work culture, and ensuring optimal staff performance. A minimum of 5 years experience of operational management and proven record of achieving targets and results to include: Business planning, financial and people management. Performance management including appraisal. Managing health and safety, premises, contracts, and services. 4. Proven experience of successfully leading and implementing change 5. Excellent communication skills (written, oral and presentation) and interpersonal skills. Desirable Criteria Third level Leadership and/or business / practice management qualification. Primary care general practice management experience Proven experience leading and implementing QI and continuous improvement initiatives, resulting in measurable enhancements service delivery. EMIS/Vision system user skills Other Criteria Flexibility to work outside of core office hours on occasion to meet business needs as required.
