As a Mobilisation Coordinator, your mission is to mobilise and manage projects efficiently, ensuring they are delivered on time, within budget, and to the highest safety and quality standards. By coordinating field teams, managing logistics, ensuring compliance, and maintaining strong client relationships, you will play a crucial role in driving profitability, operational efficiency, and customer satisfaction. Your ultimate goal is to support the Pothole Contract Manager in delivering safe, high-quality, and cost-effective solutions while upholding Ground Control’s commitment to excellence and sustainability.
Role Overview
The Mobilisation Coordinator is responsible for overseeing the smooth transition of approved projects from planning to execution, ensuring that all necessary resources, permits, and compliance measures are in place. Working closely with the Pothole Contract Manager, this role ensures that projects are mobilised efficiently, completed safely, and prepared for billing, with a strong focus on cost control, compliance, and client engagement.
Key Responsibilities
Work Allocation & Field Team Coordination
1. Assign work to Field Teams (FTs), ensuring all jobs are mobilised efficiently and executed safely.
2. Confirm attendance with clients and teams to prevent delays.
3. Identify and group sites to optimise resource allocation and operational efficiency.
4. Ensure all works are scheduled, mobilised, and delivered in line with client requirements and agreed timeframes.
5. Monitor ETAs to ensure timely completion of all assigned jobs.
Client & Portal Management
1. Manage client portals to ensure all necessary permits, approvals, and work orders are processed correctly.
2. Respond to client queries regarding ETAs, safety issues, and work progress, providing regular updates.
3. Identify and engage clients for end-of-scheme surveys, ensuring customer feedback is collected and used for process improvement.
4. Proactively manage client expectations, ensuring no contracts are terminated due to operational performance.
Material & Procurement Management
1. Work with Procurement to order and schedule materials in alignment with project timelines.
2. Ensure all required materials are available on time to prevent project delays.
3. Maintain accurate records of material orders and updates within the ICE system.
Safety & Compliance
1. Champion health & safety best practices, ensuring all risks are managed effectively.
2. Create and manage Risk Assessment Method Statements (RAMS) and secure necessary permits.
3. Verify Field Team and subcontractor compliance, ensuring all required documentation and competency records are in place.
4. Conduct desktop and site-based HSQE audits to verify completed works meet safety and quality standards.
5. Log all safety and quality concerns in the Safety Culture system and escalate where required.
6. Actively contribute to achieving zero RIDDOR reportable accidents and improving safety performance through proactive monitoring.
Cost Management & Efficiency Improvements
1. Work closely with the Pothole Contract Manager, Estimators, and Procurement to optimise costs and improve EBITDA.
2. Identify and implement cost-saving measures to enhance financial performance.
3. Ensure sales are promptly converted into revenue, maintaining the age of works below 14 days unless extended by the client.
Project Delivery & Quality Assurance
1. Ensure jobs are mobilised, delivered safely, and meet agreed specifications.
2. Proactively address quality concerns, ensuring 100% compliance with agreed work orders.
3. Manage ETAs and work-in-progress (WIP), ensuring clear and proactive communication between teams and clients.
4. Ensure 90% or more of monthly sales are converted into revenue within the same or following month.
5. Drive a Right First-Time approach, ensuring defects are minimised and Field Teams/Subcontractors are accountable for any quality failures.
Inbox & Communication Management
1. Manage the Mobilisation inbox, acting as the primary point of contact for team coordination and queries.
2. Maintain strong communication links between field teams, clients, and internal departments.
Waste & Compliance Documentation
1. Manage the client portal for work permit creation and compliance tracking.
2. Request, collect, and monitor waste transfer notes from Field Teams and subcontractors.
Engagement & Training
1. Actively participate in meetings, contributing insights, updates, and problem-solving.
2. Support training and upskilling of colleagues, helping to improve knowledge-sharing and team efficiency.
3. Assist in the onboarding of new team members, ensuring they understand processes, compliance, and company expectations.
4. Work with the Pothole Contract Manager to drive continuous improvement initiatives, implementing lessons learned and process optimisations.
5. Support the wider team when time permits, assisting colleagues to improve overall efficiency and help achieve team KPIs.
