DUTIES & RESPONSIBILITIES PEOPLE Lead and supervise the night team, ensuring high standards of guest service are maintained throughout the night shift. Handle late guest check-ins, early morning check-outs, and any guest inquiries or issues promptly and professionally. Provide leadership during night shifts, ensuring clear communication and smooth handovers between shifts. Train night staff on emergency procedures, security protocols, and hotel service standards, ensuring they are well-prepared for their roles. Conduct performance evaluations and offer feedback to the night team, promoting ongoing development and professionalism. Manage rotas, staffing schedules, and team resources to ensure adequate coverage during night shifts while managing labor costs. Take responsibility for guest complaints or incidents during the night, resolving issues to ensure guest satisfaction. Maintain a welcoming and professional presence at the reception area and ensure the team provides exceptional service. Conduct regular briefings with the night team to communicate expectations, updates, and hotel standards. Facilitate ongoing training and development sessions, keeping the night team up to date on hotel standards, service protocols, and security procedures QUALITY Conduct nightly audits, ensuring that all daily financial transactions are processed correctly, resolving discrepancies where necessary. Oversee room allocations and ensure guest records are accurate, particularly for late arrivals and walk-ins. Ensure all guest accounts and billing procedures are followed accurately, addressing any guest billing issues promptly. Liaise with the housekeeping and maintenance teams to ensure rooms are ready for guests and that any night-time issues are resolved efficiently. Monitor guest feedback from surveys and online platforms, addressing any service-related issues during the night shift. Ensure all public areas of the hotel (lobby, hallways, lounges) are kept clean and well-maintained throughout the night. Maintain and monitor room service operations, ensuring quality and timeliness in line with RBH standards. Conduct regular inspections of guest rooms prepared for early morning arrivals, ensuring they meet hotel cleanliness and setup standards. Ensure all night staff are familiar with and adhere to RBH's service recovery protocols, promptly addressing guest complaints to turn negative experiences around. Audit the night shift operations regularly to identify any opportunities for efficiency improvements and guest service enhancements. PROFIT Manage and balance all financial transactions during the night shift, including processing credit card payments and handling cash securely. Ensure that all cash floats, safe deposits, and receipts are securely stored in line with hotel security policies. Review room allocation with the Reservations Department to maximize occupancy and ensure room upgrades are offered where appropriate. Identify opportunities to maximize revenue by upselling hotel services such as room upgrades, late check-outs, and breakfast packages. Control operating costs during the night by managing payroll expenses, reducing waste, and ensuring efficient use of resources. Prepare financial and operational reports for senior management to review after each night shift. STRATEGY Collaborate with senior management to develop and implement strategic initiatives that improve night operations and enhance guest satisfaction. Analyse guest feedback and identify opportunities for improvement in night shift operations, ensuring that service excellence is maintained. Implement cost-saving initiatives and efficiency measures to optimize the performance of the night shift. Ensure compliance with RBH's overall strategy and objectives, aligning the night shift operations with broader hotel goals. GENERAL Ensure that all security and safety protocols are followed during the night shift, including conducting regular patrols and monitoring CCTV. Be responsible for health and safety standards, including fire safety, first aid response, and evacuation procedures, ensuring the team is trained and prepared for emergencies. Conduct nightly walk-throughs of the hotel to ensure cleanliness, safety, and security standards are maintained. Serve as the Duty Manager during the night shift, overseeing all operations and handling any emergencies or guest incidents that may arise. Adhere to all RBH codes of conduct, policies, and procedures, maintaining professionalism and integrity in all interactions with guests and staff. Flexibly handle additional tasks as directed by senior management to contribute to the overall success of the hotel. Work closely with other departments, such as housekeeping, maintenance, and food & beverage, to ensure smooth operations during night shifts. Ensure compliance with GDPR and data protection laws, securing guest information and hotel data during night operations. Regularly update and maintain accurate records of incidents, maintenance issues, and any guest complaints that occur during the night shift. Monitor and manage any third-party contractors or vendors operating overnight, ensuring they comply with hotel standards.
