Job Description
Due to substantial growth and maintaining sales around pre-lockdown levels, we are keen to hear from persons with a strong administrative background who want to be part of a highly rated business in the medical aesthetic industry with 23 years of history. Our client has a strong medical and scientific background and needs strong organisational skills and administrative excellence to support the busy office and field team.
The Role:
You will be a member of an Administration Team of two and report to the Operations Manager, who also has Marketing, Sales Support, Warehouse, and Clinical Sales reporting. The successful candidate will ensure the sales, marketing, dispatch, and warehouse functions work seamlessly and optimally. You will be responsible for coordinating and assisting department heads in delivering business goals.
Key Duties:
The successful candidate will report to the Operations Manager, and they will:
* Operate invoicing systems to update customer accounts, load new prices and discounts, produce invoices, and update elements of the website.
* Update content on the WordPress site to manage B2B site content with management sign-off on a regular basis.
* Adopt and apply themselves to the Shopify back office to download and process offline orders and update content, prices, and offers. Full training will be provided.
* Process customer registrations for online training.
* Organise stock deliveries, liaising with suppliers to ensure forecast orders are timely placed and confirmed in line with demand.
* Manage stock lines so any issues are communicated early, minimising disruption to sales and keeping marketing informed to alter promotions. Work with suppliers to remedy stock issues.
* Report any staff or management issues to the Operations Manager and act as their eyes and ears.
* Ensure SOPs and processes are optimised, implemented, and adhered to, acting as a liaison.
* Demonstrate skills with databases and spreadsheets.
* Be a multi-tasker who can organise and optimise their time and that of others.
* Assist in annual appraisals on an organisational and administrative level and produce letters as well as seek answers to the MD's requests.
* Ensure provision and purchase of all equipment and office stationery and organise team meetings, both business and social.
* Liaise with the bookkeeper and collate and provide summarised sales information for accounts.
* Work with colleagues responsible for order processing and consumer administrative inquiries, supporting them in their role.
