Job overview
An exciting opportunity has arisen for an experienced, highly organised, enthusiastic and self-motivated individual to join our Governance and Corporate Affairs Team in the Birmingham and Solihull Integrated Care Board (ICB). The role will work closely with the Head of Legal Services, the Associate Director of Governance and Corporate Affairs, and the Secretary to the Board to support the ICB’s management of legal cases and corporate activities.
The successful candidate will have experience supporting multiple complex processes, for example board committees and legal cases, as well as providing direct support to senior staff members.
Excellent communication skills are essential as well as the ability to work on your own initiative with a high degree of autonomy and minimal supervision. Attention to detail and the ability to produce error-free documents are critically important and need to be maintained even in times of pressure.
Candidates must have experience of supporting high level meetings including compiling agendas and associated papers along with exemplary minute taking skills. Strong team working and cross-cover for colleagues will be required.
Candidates must have a high level of proficiency in Microsoft packages.
The positions will be based at the ICB Headquarters in Birmingham City Centre although travel to other sites may be required.
This is a full-time post (37.5hrs per week) following a Hybrid working model.
Main duties of the job
Corporate Governance:
* Support the Associate Director of Governance and Corporate Affairs in planning and facilitating key meetings and activities in order to maintain the highest levels of corporate governance.
* Support the Board Secretary to provide comprehensive administrative service, including high quality documentation of activities, to the Board and its committees.
* Work closely with members of the Non-Executive and Executive Team to ensure the Board meets its obligations and is compliant with the NHS regulatory framework.
* Provide personal assistant support to the Associate Director of Governance and Corporate Affairs that includes diary management and appropriate support to Board meetings and Committees.
Legal Services:
* Work alongside the Head of Legal Services to support the delivery of legal services for NHS BSOL ICB and the Office of the West Midlands.
* Diary management for the Head of Legal Services.
* Maintenance of the legal services forward planner, keeping accurate records of legal meetings, court hearings, court attendance dates, round table meetings and training/development sessions and other legal related activities.
* Maintenance of up to date case files on behalf of the Head of Legal Services.
* Support the development of the legal service procedures and systems including the legal expenditure and performance management system and risk register.

Education / Training / Qualifications
* Degree level education or equivalent knowledge
* Management/Secretarial or equivalent training/ experience
Knowledge and Experience
* Extensive experience of working as a PA/ Secretary at Director level senior manager level
* Experience of working in a large organisation.
* Experience of working under pressure, with strict deadlines and dealing with a range of complex issues, sometimes leading to conflicting priorities.
* Experience of taking Trust Board and Committee or equivalent formal minutes
* Experience of preparing formal meeting papers
* Understanding confidentiality issues when handling client data, alongside the implications of the Data Protection Act
* Knowledge of record keeping standards
* Ability to work within a team environment and display initiative when necessary
* Strong attention to detail and able to produce accurate and detailed work
* Experience of working in a Board Secretariat environment.
* Experience as a paralegal, or working within legal services
* Experience of working in the NHS
* Experience of a wide range of NHS procedures and practices
