We’re looking for a super proactive and organised People & Office Coordinator to provide an exceptional employee and office experience for our growing 400 person team based in London. The People & Office Coordinator is essential to ensuring high-quality HR administration and an optimal environment for all team members to do their best work. As our People & Office Coordinator, you will be part of the backbone of our London office, ensuring the daily People & Office operations run seamlessly. You’ll also work closely with the wider People function to coordinate a variety of company ceremonies and celebrations. What you'll do Responsibilities will include: People Operations: Onboarding and offboarding: Own and run the end-to-end employee onboarding and offboarding process, from contract generation and pre-employment checks through to right-to-work checks and day one welcome. HRIS administration: Ensure all new starters, leavers and employee changes are accurately recorded in our HRIS. Data Reporting: Produce reports from our HRIS and benefits management systems as required. HR administration: Draft and send employee lifecycle letters, respond to references requests and resolve/escalate employee queries. Cyclical internal checks: Support completion of annual employee checks in line with regulatory requirements. Benefits administration: Support employee benefits administration and troubleshooting. Prepare and share comms to the wider business in relation to People Team and office activities. Payroll: Support the payroll process, ensuring our Finance team is provided with accurate and up to date employee information. Office administration: Perform a variety of office tasks such as online grocery orders, receiving deliveries, support Workplace Tech with IT queries, coordinating couriers etc. Office supplies: Maintain inventory supplies, stationery and office equipment/supplies. Office Health & Safety and security e.g. perform first aid and fire marshal duties. Documentation: Support the writing and updating of office process documents. Greet visitors and handle incoming calls. Company meeting and events: Organise and support facilitation of company meetings, events and celebrations, in or out of the office (or virtual). Assist the Office Manager with daily administrative tasks.
