About the Role
We are seeking a highly organised and proactive Office Manager to join our team in the Richmond office. The ideal candidate will have previous experience managing office and administrative tasks for a fast-paced or start-up organisation. You’ll be responsible for supporting the smooth operation of the office, as well as assisting senior management with scheduling, event coordination, and administrative tasks. You will be the go-to person for all office-related matters. The successful candidate will also provide operational and administrative support to the Events team, ensuring the seamless delivery of events.
What you’ll be doing
1. Ensuring that office procedures are efficient and aligned with company policies, including scheduling and maintaining office calendars.
2. Handling incoming and outgoing deliveries, emails, and phone calls. Acting as a liaison between staff, management, and clients.
3. Organising and maintaining files, records, and documents, both digital and physical, to ensure information is easily accessible.
4. Monitoring and ordering office supplies such as stationery, equipment, and furniture to ensure the office is well-stocked.
5. Managing relationships with service providers (cleaning, IT, maintenance) and negotiating contracts with vendors.
6. Handle office budgets, including tracking expenses for office activities, supplies, and events, while maintaining cost efficiency.
7. Support onboarding of new employees, including setting up workstations, helping with IT equipment, and ensuring a smooth integration into the office environment.
8. Planning team-building activities, social events, and other activities that promote a positive work environment.
9. Overseeing the maintenance of office equipment such as printers, AV, and VC, and coordinating with IT support as needed.
10. Ensuring that the office complies with health & safety regulations, including conducting regular safety drills and maintaining a safe work environment.
11. Overseeing the allocation of desk space, conference rooms, and managing any changes in office layout.
12. Coordinating repairs and maintenance work to ensure the office space remains functional.
13. Managing front-desk duties, including welcoming visitors, answering enquiries, and providing general assistance.
14. Leading or assisting in office-wide projects, such as office renovations or implementing new software.
15. Organising company meetings, conferences, and client meetings, ensuring all logistics are managed effectively.
16. Preparing and presenting regular reports on office expenses, space utilization, and other key metrics for management.
17. Collaborating with internal teams and external stakeholders to ensure all aspects of the event logistics, content, and timings run smoothly.
18. Coordinating travel and accommodation for events staff, speakers, and attendees as necessary.
19. Identifying and liaising with event vendors, venues, suppliers, and service providers to secure event resources and services.

Skills We Need for This Role
1. Ability to travel to our Richmond office up to 4 days per week.
2. Proven experience as an Office Manager, Executive Assistant, or in a similar role with calendar management and event coordination responsibilities.
3. Some event planning experience in tech events or conferences, ideally cybersecurity, would be highly advantageous.
4. Strong project management skills, with the ability to manage multiple events simultaneously.
5. Strong organisational and multitasking skills with an eye for detail.
6. Excellent written and verbal communication skills.
7. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with office/project management systems and tools is highly beneficial.
8. Ability to work in a rapidly growing organisation and manage multiple priorities.
9. Familiarity with CRM or scheduling software.
