Position Overview: The IT/Data Management Assistant is to oversee the accurate entry, processing and the management of critical organisational data and documents. The ideal candidate will possess strong attention to detail, excellent organisational skills, and experience with data entry and document management software.
Key Responsibilities:
1. Quality Control and Compliance:
1. Conduct regular audits of data entries and documents to ensure adherence to company standards and regulatory requirements.
2. Maintain confidentiality and ensure compliance with data protection regulations and company policies.
3. Coordinate with relevant teams to address discrepancies and resolve data-related issues.
2. System and Process Optimization:
1. Identify opportunities for improving data entry processes and document management practices.
2. Assist in developing and implementing new data entry and document management systems as needed.
3. Train team members on data input and document management protocols and software.
3. Reporting and Documentation:
1. Generate regular reports on data entry activities, errors, and corrections.
2. Document data entry and document management processes, policies, and procedures. Support department reporting needs by extracting and summarizing data as requested.
4. IT Support & Troubleshooting:
1. Diagnose 1st line support issues and effectively identify root causes.
2. Escalate or resolve issues within SLA guidelines.
3. Liaise with stakeholders to resolve support issues.
Qualifications:
1. Education: Good GCSE education level background.
2. Experience: Microsoft Office Products, SharePoint, IT experience beneficial but non-essential (as training will be given).
Skills:
1. Excellent attention to detail and organizational skills.
2. Strong data entry speed and accuracy.
3. Strong troubleshooting capabilities.
4. Ability to manage and prioritize multiple tasks effectively.
5. Strong written and verbal communication skills.
6. Proficiency in Microsoft Office (Excel, Word, Outlook) and document management software.
