The Role What you will be doing as a Senior Administrator: Reception Duties Act as the first point of contact for all enquiries by phone, email and in-person Manage incoming and outgoing mail Registered Manager Support Booking appointments/meetings/visits /taking notes of meetings Diary Management Maintaining petty cash accounts for Russell House in line with Kids guidelines Stock Control and resource management Process all requests for resources e.g. equipment, stamps, stationery etc., placing orders and coding invoices correctly Monitor the Iron gate order system. Data processing Process and monitor all annual leave and sickness absences To update, maintain and circulate general internal information. For example, telephone lists, contact lists, Sessional worker database Report information accurately to support monitoring information required by South Gloucestershire 0-25 Service. Recruitment and Induction Support the registered manager with Kids recruitment policies and procedures eg take notes in all interviews. Collate information for local induction of new staff Payroll data for employees and sessional workers To support the Russell House Management team to comply with the organisational requirements for accurate staff data. I.T. Maintain a good working relationship with the technical support teams of both systems to assist in communication To be the first port of call for enquiries to Russell House liaising with the national technical support team when necessary Health and Safety Support the Senior team to ensure that health and safety requirements are met in line with Kids policy Collate information for the health and safety report for Ofsted inspections Training Book and arrange training as required. Updating training matrix and training profiles within staff files. Personal Qualities & Experience Required At least 12 months experience in a comparable administration role. At least 12 months experience of and high level of competency in using MS office including teams Able to demonstrate excellent organisational planning and administrative skills Ability to demonstrate excellent attention to detail Ability to maintain and manage a busy workload and multiple priorities Ability to work as part of a team Educated to minimum of NVQ level 2 Ability to demonstrate good Microsoft Excel and word skills The vacancy may close before the deadline, if we receive a high volume of applications.
