Overall, Purpose of this Job:
We are recruiting for a Sr. Executive Assistant, located in our central London (UK) office. The successful candidate will provide full administrative support to Senior team members. This position will require the individual to take initiative and use discretion and discernment. Excellent interpersonal and strong communication skills are essential for this role. The applicant is required to be highly motivated to initiate and follow through on tasks with minimal mentorship and with a strong attention to detail.
The responsibilities & the impact YOU will have:
1. Manages highly complex business calendars with a clear understanding of prioritization and time management to ensure maximum effectiveness of time used.
2. Coordinate senior management meetings as well as be required to organise confidential files along with managing relevant data and records.
3. Coordinate travel itineraries and expenses for Senior team members as required.
4. Interact with various levels of senior management on a day-to-day basis, handling highly confidential documents and materials.
5. Provide operational support to the broader Innovation Centre team as required.
6. Full event management for external high-profile events and activities.
7. Exercises independent decision making to troubleshoot concerns and resolve problems.
8. Tracks budget and monitors planning for assigned projects/processes.
9. Assists in design, development and implementation of various programs, projects and assignments aligned with functional process and service.
10. Tracks action items and follows up on behalf of Senior team members.
11. Stay informed of all company policies, procedures, and guidelines relevant to the functioning of the group.
12. Provide back-up coverage for other Sr. Executive Assistants when necessary.
Qualifications
We’d love to hear from YOU, if you have:
* Higher education qualification or equivalent experience is required.
* 6-8 years strong experience in a similar role in a similarly complex environment.
* Evidence of strong administrative skills (i.e. diary management, travel, correspondence, expenses etc.) essential.
* Proficient communication skills (verbal and written) essential.
* Experience with juggling priorities and excellent organization skills essential.
* Confident liaising, greeting and supporting all levels of management/senior leaders and external guests at the IC.
* Ability to build and maintain positive working relationships with Global Services team (HR, IT etc.).
* Confident/advanced experience of Microsoft Office software (MS Word, Outlook, Org Plus, Excel, PowerPoint, etc.) required.
* Familiarity/interest in pharmaceutical/healthcare/biotechnology environment is helpful (not essential).
* Experience with Concur Expenses Reporting, Ariba PO Processing, SharePoint Site Administration, and Our Source Administration, or similar systems, is desirable.
