To provide comprehensive administrative support to the Divisional Management Team.
To work with the minimum of supervision in an organised, efficient manner in order to maximise the effective use of both their own time and that of managerial staff.

To ensure the delivery of national targets by managing the utilisation of outpatient capacity, processing room booking requests and monitoring rooms available due to annual/study leave.
Validation of data on the iCS PAS (Patient Administration System) to maintain the quality and content of data held.
Input and process information in accordance with the patient access policy and DH guidelines.
Provide advice & guidance re patients awaiting admission/appointment/re-admission to Trust employees.
Main duties of the job
Deal with all queries, correspondence and telephone calls in a timely, professional and sensitive manner.
Manage electronic diaries to co-ordinate internal and external meetings.
Prepare papers for meetings, attend, take and type minutes as required.
* Assist the Divisional Operational Manager in the running of the IVIg process. Input medication information for each patient on to the National Immunoglobulin database in a timely manner. Monitor the IVIg review spread sheet and ensure patients are reviewed within required timescales so that efficacy outcomes are obtained. Co-ordinate IVIg Approval Panel meetings ensuring data is recorded on the database correctly.
Oversee Divisional Administrator in the running of the Trust Orthotics Service.
Liaise with Consultants and Divisional Managers to schedule outpatient sessions to ensure that all capacity is fully utilised both at WCFT and external providers.
Administer the BookWise clinic room scheduling system ensuring rooms are cancelled for all annual and study leave and booked for additional clinical activity.
Manage consultant and nurse annual leave requests.
Liaise with external sites where WCFT Consultants provide outpatient activity as required.
* Use iCS to access patient records for project work and waiting list issues when dealing with queries/complaints etc. Retrieve case notes as required.

Job responsibilities

Co-ordinate appointment bookings for the Trust's Orthotic service; ensuring additional clinic capacity is sourced from the suppliers as required. Liaise with the supplier to ensure a smooth and effective service for patients.

Person Specification
Qualifications
* Educated to GCSE level or equivalent.
* ECDL certificate or equivalent
* RSA III/NVQ Level 4 or equivalent experience
Knowledge & Experience
* 3 years previous NHS experience
* 2 years experience PAS user
* Experience of data entry & producing reports
* Knowledge of Patient Access targets
* Knowledge of Hospital procedures
* Knowledge of OP and IP Waiting Lists
* High level patient pathway knowledge
* Experience of managing Patient Tracking Lists
