Executive Administrative Assistant – (Full Time or Part Time 0.8 FTE)

The Role
Reporting to the CEO, this role provides high-quality administrative and organizational support to the CEO, Board, and broader Executive team. The role will provide varied opportunities to be involved across a range of interesting projects and business units while working closely with the senior executive team.
Key work tasks include:
1. CEO Support
* Provide high-level administrative support including the preparation of correspondence, minutes, presentations, reports, and meeting coordination.
* Facilitate timely and professional responses to key stakeholder requests.
* Coordinate diary movements for the CEO.
1. Assistant to Executive Team
* Provide administrative support to the executive team including assisting in editing and formatting documents.
* Support for the Human Resources team as required including documentation and coordination of meetings.
* Support the preparation and coordination of marketing projects, events, and functions as required.
* Coordinate agendas, take minutes, and prepare documentation for internal committee and team meetings as requested.
2. Company Secretary and Board Administration Support
* Coordinate all Board administration as required including preparing and formatting Board papers, scheduling meetings, meeting catering, communication with Directors, and providing general support to Directors as required.
* Respond to Board requests as required.
Required Qualifications and Experience
* High-level working knowledge of the Microsoft Office suite of products (e.g., MS Word, Outlook, Excel, PowerPoint, SharePoint) and Adobe Acrobat.
* Extensive experience in an Executive support role (ideally supporting a CEO) and a proven ability to coordinate Board-related administration.
* Excellent document formatting and editing skills.
* IT savvy with an excellent ability to learn new systems.
* Well-developed verbal and interpersonal communication skills.
* Ability to exercise discretion and maintain confidentiality.
* Good ability to use social media to facilitate updates and postings.
* Well-developed professional writing skills.
* Experience and knowledge of the not-for-profit sector.
