POSITION: Export Documentation Officer

SALARY RANGE: £26,000 to £30,000

ROLE OF EXPORT DOCUMENTATION OFFICER
The role of the Export Documentation Officer is responsible for providing efficient, accurate, and professional support to businesses requiring export documentation services. Working as part of a NI Chamber Finance & Export Team, the role ensures businesses comply with international trade regulations and helps facilitate smooth export processes. As a designated authority for the issue of certified Export Documents, the NI Chamber processes over 7,000 documents per year for over 200 companies sending goods to 130 countries.
The post holder will need to be present in the office for the majority of their working hours. However, some homeworking can be agreed with their line manager at times where considerable paperwork can be done remotely.
KEY FOCUS AREAS EXPORT DOCUMENTATION
* Export Documentation Services
* Process and certify export documentation such as Certificates of Origin, EUR1s, ATA Carnets, and other trade-related certificates.
* Verify the accuracy and compliance of export documents with regulatory requirements accredited by British Chambers of Commerce.
* Advise businesses on documentation requirements for various international markets.
* Customer Support
* Offer guidance and support to businesses on export processes.
* Maintain a high level of professionalism and responsiveness in handling member and non-member queries.
* Assist with troubleshooting issues related to export documentation.
* Administrative Duties
* Maintain accurate records of processed documentation for audit and reporting purposes.
* Process payments for services and provide necessary invoicing.
* Collaborate with the wider Chamber team to support broader trade and business initiatives.
* Member Engagement
* Act as a key point of contact for Chamber members engaged in international trade.
* Promote the Chamber’s international trade services, including training and networking opportunities.
* Recording and maintaining data in CRM systems.
CROSS TEAM WORKING
* Work closely with all NI Chamber teams day to day.
GENERAL
* Represent NI Chamber in a professional manner.
* Assist in the delivery of the overall NI Chamber strategy.
* Undertake any other duties required, as directed by the Chief Executive of NI Chamber.
ESSENTIAL
* Minimum 2 years’ experience in a similar role providing Export Documentation services including Certificates of Origin, EUR1s, ATA Carnets, and other trade-related certificates.
* Minimum of 2 A Levels or equivalent.
* Minimum of 5 GCSEs or equivalent, at grade C or above, including English and Maths.
* Experience and a high level of proficiency with Microsoft Office 365 (Outlook, Word, Excel, and PowerPoint).
DESIRABLE
* A recognized Export Documentation qualification such as a British Chambers of Commerce Accreditation or Institute of Export & International Trade.
