To provide proactive and professional HR & Payroll administration support to the management and staff of my client in the UK and Ireland, in line with current legislation and the ongoing needs of the business. This role is a 6 month Fixed term Contract Key Responsibilities of a HR & Payroll Administrator • To maintain comprehensive and accurate electronic and paper employee records. • Administer the process for new employees; create new starter welcome pack, provide job description, prepare offer letters, contracts of employment and conduct all pre-employment checks • Record/Track and obtain all induction paperwork in agreed timescales • Administer the probation process ensuring Managers know when review meetings need to take place and prepare the appropriate correspondence. • To maintain the maternity, paternity and adoption leave documents preparing appropriate correspondence and assisting Managers with administrative support on benefits. • To maintain probationary and absence management records across the business, ensuring procedure is followed and accuracy of all records. • To update and maintain Organisational Charts for the business • To take responsibility for conducting all employment checks including conducting reference checks, DBS and HPC Registration checks for all staff who have access to vulnerable children and adults. • To develop and maintain a detailed knowledge of the Company's policies and procedures, terms and conditions of employment, offering administrative support to employees as appropriate. • To manage and maintain the mandatory training platform, rolling out of all training to new starters, running reports and management of leavers. • To develop sound knowledge and understanding of the HR / Payroll Systems (Pegasus Opera03). • Responsible for producing reports as and when needed. • Administrative support for Long Service Awards, Training Courses and other events/meetings organised by HR. • To provide benefits admin support as and when required. Payroll: • Collating yearly payroll calendar and communicating to all staff. Sending monthly payroll • Time sheets and mileage return reminders. • Update the Payroll Master spreadsheet with HR related changes- starters, leavers and changes and collect evidence for payroll folder. • Obtain updated tax codes and student loans changes from the HMRC and capture onto Consolidated Payroll Analysis Sheet. • Obtain childcare voucher and cycle scheme changes and capture onto Consolidated Payroll Analysis sheet. • Carry out all calculations with regards to starters, leavers, salary increases, deductions, maternity, paternity, SSP, SPP and SMP etc. • Process all changes on payroll and responsible for answering all queries related to monthly payroll and taxation. • Responsible for printing and distribution of P45. • Responsible for monthly RTI submissions and sending electronic pay slips. HR Admin: • Administrative responsibility for all HR records relating to pensions, private healthcare, PHI and DIS. • Create new joiners electronic records and update employee file accordingly. • To reconcile SW data file with Finance figures before monthly SW Data file submissions. • Responsible for submitting Scottish Widows monthly pension information, downloading and distribution of all mandatory communications. • Responsible for Death in service and PHI year end submissions and updates. • To maintain an accurate electronic and paper record of Private Healthcare joiners and leavers. • To carry out any other duties reasonably falling within the purview of the post.
