We are looking for a Planning Administrator to provide vital administrative assistance to our clients planning department. Role Overview: As a Planning Administrator, you’ll be at the heart of the planning process, ensuring that everything runs smoothly and efficiently. Your administrative expertise will play a critical role in managing schedules, coordinating meetings, maintaining records, and assisting with planning documentation. The ideal candidate will have excellent communication skills, strong attention to detail, and a knack for multi-tasking. Responsibilities: Manage and maintain planning schedules, travel arrangements, calendars, and appointments. Answering and redirecting phone calls. Taking messages and notes at meetings. Welcoming visitors and managing office flow. Keeping office management systems (e.g., Youmanage/InVentry) up-to-date. Prepare and distribute agendas, minutes, and meeting materials. Handle incoming/outgoing correspondence, including emails. Generate reports and analyse data as required. Ensure adherence to relevant regulations and company policies. Maintain accurate filing systems (electronic and physical). Gather and compile data for planning reports and presentations. Process administrative paperwork such as purchase orders and invoices. Track project timelines, milestones, and deadlines. Provide general support to the planning team. Skills & Qualifications: Proven administrative support experience, preferably in planning or project management. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational, time management, and communication skills. Exceptional attention to detail and accuracy. Ability to work independently and collaboratively in a team. Experience with project management and database software is a plus. Excellent written and verbal communication skills. Proficiency in data entry and management.
