The Administration Manager will be responsible for the provision of operational and day-to-day management of clerical and administration services within the Neurodevelopment and LD services in the West area.
The post holder will be required to assist the Deputy Operations Manager, Operations Managers, Clinical Leads, and Service Managers with the provision of a broad range of corporate support to the teams. This will involve monitoring waiting times, capacity and demand, identifying problem areas, and working with the Operational Management Team to resolve issues and ensure a coordinated approach to the delivery of services. The post holder will ensure that routine and ad-hoc information is provided to support the monitoring and achievement of all performance-related targets.
* Manage the recruitment and selection of admin and clerical staff.
* Manage the flow of work along with supervising and supporting the administrative team.
* Undertake staff personal development reviews.
* Maintain accurate records of staff sickness and management of sickness absence in accordance with Health Board policies.
* Establish and operate effective administrative, filing systems, IT systems, and procedures.
* Arrange cover to ensure administrative services are available at all times.
* Provide general quality control for the production of information and development of administrative procedures.
* Manage all waiting lists within the specialty in line with the Health Board’s waiting list policies and Welsh Government guidance.
* Work with the Divisional Management Team to ensure demands meet capacity, identifying areas of shortfall within the specialty area.
* Assist the Deputy Operations Manager in the management of financial resources within the Children & Young People’s Division.
* Monitor procurement of goods/ordering of supplies on Oracle System.
* Prepare monthly staff returns for authorisation for payment of staff.
* Ensure appropriate and timely management information is provided to the Management Team.
* Regularly report on the performance of the service identifying trends and outcomes and actions to improve performance.
