Below outlines the tasks completed by the Imaging Support team. We welcome all applicants with PA and secretarial experience.
The working pattern for this role is Monday – Friday, 37.5 hours per week, with flexible working between the hours of 08.00 – 18.00 each day (subject to change with staff consultation).
Main duties of the job
1. To provide an efficient and effective administration and secretarial service to the Consultant Radiologists and Management team.
2. Job planning and Rota creation.
3. To support the Radiology administration aspect of the Multi-Disciplinary Team (MDT) Meetings in conjunction with the MDT Co-ordinators.
4. Maintain a high standard of service for all Radiology users; within the Trust, the Community and with General Practitioners.
5. Audio typing, confidential secretarial and administrative duties.
6. Assisting the Code 5 co-ordinator.
7. Covering the Imaging help desk.
Detailed job description and main responsibilities
1. Use initiative to provide confidential secretarial and administrative duties for Consultant Radiologists and Management Team.
2. Use personal judgement when covering the help desk, including accessing and issuing diagnostic reports to authorised personnel and addressing doctors queries regarding film reporting.
3. Be the contact point in the Radiology Department regarding the Multi-Disciplinary Team (MDT) meetings.
4. Produce weekly rotas for Consultant Radiologists ensuring that it is completed precisely and in a timely manner.
5. Regularly review Radiologists’ availability and extra commitments, keeping the rota up to date with any necessary changes and finding cover when applicable.
6. Keep accurate records of Radiologist annual leave.
7. Manage the CRIS (Radiology Information System) diary, ensuring that the Radiologists' availability is correctly reflected.
8. Assist and take minutes at Imaging meetings as required.
9. Disseminate information to staff as instructed by the Consultant Radiologists.
10. Prepare and handle correspondence as required by the Consultant Radiologists or Management Team.
11. Ensure a co-ordinated approach to service delivery on both sites to promote good working relations.
12. Assist in monitoring levels of stationary and non-stock items, place orders and accept delivery.
13. Continually monitor and suggest improvements to departmental policies and protocols with an aim to improving the service and ensuring the highest standards are met.
14. Assist the Code 5 co-ordinator in ensuring any unexpected urgent reports are tracked and actioned in an appropriate timescale.
15. Support the department and organisation by carrying out any other duties as qualified and able.
16. Be available to work at both Ashford and St. Peter’s Hospitals.

Qualifications
* Previous experience in a secretarial role.
* Previous NHS experience.
* Prepared to develop further skills.
* Business and Administration NVQ.
* Medical secretary training.
* Shorthand qualifications.
Experience
* Experience of Microsoft Office; particularly Word, Excel, PowerPoint and email.
* Handling telephone enquiries.
* Minute taking.
* Managing filing systems.

* Evidence of ability to work unsupervised.
* Experience of developing relationships with external departments.

* Previous knowledge of the NHS.
