Job Purpose: As the Executive Assistant to the Senior Leadership Team (SLT), you will play a crucial role in enhancing the efficiency and productivity of key SLT members. This position requires a proactive and highly organized individual capable of managing multiple responsibilities while delivering high-quality administrative support. You will work closely with the PA to the CEO and other departments to ensure seamless communication and coordination across the organisation. Key Responsibilities: Manage inboxes and calendars for SLT members, prioritising meetings, responding to emails, and ensuring adherence to deadlines. Assist with company secretary duties, including filing, maintaining accurate records, preparing board packs, and following up on board meeting actions. Provide administrative support for AGM preparations, managing trustee nominations, coordinating documentation, and liaising with trustees and members. Collaborate with the PA to the CEO to align schedules and ensure effective communication for internal and external events. Organise and manage logistics for team meetings, ensuring all participants are informed and have necessary documentation. Oversee contract signing processes and liaise with legal advisors to facilitate timely conclusions. Gather project updates and provide reports to SLT members on sponsored projects, tracking key milestones and deliverables. Assist SLT members with expense submissions and credit card reconciliations in accordance with company policies. Create and maintain spreadsheets, manage databases, and generate regular and ad-hoc reports for organisational efficiency. Support the review and updating of organisational policies and procedures in collaboration with SLT members and relevant departments. Communicate with external stakeholders, including clients, partners, trustees, and other organisations, on behalf of SLT members. Liaise with the Marketing Department and Events Team to coordinate the SLT's involvement in various events. Arrange travel and accommodation for SLT members, including booking flights, hotels, and preparing itineraries. Manage incoming post efficiently and in a timely manner. Participate in client projects and initiatives to further their objectives. Assist with tracking and monitoring budget-related activities as needed. Uphold the client's values and mission in all interactions, fostering a positive reputation within the industry. Continuously review and improve processes to meet business requirements. Perform any other duties as required by your manager to ensure the successful execution of your role. Key Skills & Experience: Essential: Proven experience as an Executive Assistant or in a similar role, ideally supporting senior leadership in a professional setting. Exceptional organisational and time-management skills with the ability to manage multiple tasks effectively. Excellent written and verbal communication skills, capable of engaging professionally with diverse audiences. Strong ability to build and maintain professional relationships with multiple stakeholders. High proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams, SharePoint) and other office management software. Experience in diary and inbox management, travel coordination, and general office administration. Strong attention to detail and effective problem-solving skills. Discretion in handling sensitive information with the utmost confidentiality. Ability to work independently under strict deadlines, demonstrating initiative and proactivity, while also collaborating effectively with various teams.
