We are looking for a full-time Office Coordinator to join our RELEX office in London (80%) and Stoke (20%).
What you’ll be doing:
* Travel & Hotel Coordination: You manage airport transfers for UK and overseas visitors and assist with travel & hotel bookings for individuals and groups.
* New Starter Process: You coordinate Week 1 activities and are responsible for week 1 activities of new starters and their travel expenses, etc.
* Event Support: You are responsible for the winter and summer parties in London & Stoke and oversee logistics for those, including venue sourcing and price negotiations.
* Office Management: You manage meeting room bookings, visitor management, office access, and office supplies, and handle daily office tasks, such as locker management, catering orders, and liaising with suppliers. You coordinate with suppliers for office equipment and facilities, including coffee machines, AV, water coolers, and fire extinguishers, and liaise with building management and the facilities team.
* Budget & Reporting: You assist with office budget management and usage tracking.
* Holiday & Charity Activities: You organize holiday gift hampers and coordinate charity events.
* Marketing & Merch: You assist with customer gifts and manage the UK Merch store.
What you'll bring to the table:
* Strong organizational and communication skills.
* Experience in office management, travel coordination, and facilities coordination.
* Experience in event planning is a plus.
* Proficiency in Microsoft Office.
