There will be a number of activities that the Information Manager will be expected to oversee and deliver, these are:
The IMgr advises and supports the Senior Information Officer (SIO) and is responsible for ensuring that information is being captured, stored, distributed, used, retained and eventually disposed of across multiple systems in accordance with the law, MOD policy and guidance as well as direction from the HLB.
The IMgr is also responsible for managing the Information Risk Management Process at Unit level, briefing the SIO on the overall risks being held by the unit and the evaluation of issues that may exceed stated levels of risk.
Deliver IM maturity within the unit by ensuring policies for creating, storing, distributing, using, retaining and disposing of information are in place, are consistent and reflect best practice and current legislation.
With support from the Information Hub, actively promote effective IM working practices across the unit and ensure that personnel understand the importance of effective information & records management, how to achieve it in order to ensure legal compliance with the Freedom Of Information & Data Protection Acts, and Environmental Information Regulations.
Lead and participate in knowledge sharing forums, training sessions and briefs. Prepare and deliver IM presentations to a wide range of audiences. Develop the IM skills and competences of staff within the unit.
Lead a Unit change of culture to maximise the utility of the current information enterprise and inform development and delivery of the information strategy as defined by HQ Command SIO.
Supported by the SIO, oversee the implementation of incoming information capability enhancements such as upgrades to software, hardware and applications.
Manage the development and maintenance of the Unit File plan, and team site structure for best information retention and retrieval, ensuring departmental records policy are met.
Provide guidance on all aspects of IM policy and training, ensuring up to date guidance and support is available to help staff make best use of information, this may include providing individual support and coaching.
Represent the Commanding Officer at IM Working Groups.
Management of the iHub staff: 2 x Civilian, and 1 x Military.
In addition to strategic responsibilities, the IMgr will:
Write and be responsible for the implementation of the Unit IM Plan.
Enable IM/IX/IA on behalf of the SIO;
Maintain familiarity with IM Policy and Protocols;
Identify the Unit’s information requirements including information flow analysis.
Awareness of SharePoint design and data transfer policies.
Manage the Unit’s collaborative working environment.
Identify and develop efficiencies to improve electronic ways of working and oversee the implementation of support services to aid delivery of improvements.
Establish and manage the Unit’s information storage requirements including access rights and permissions.
Create and maintain a business unit file plan and retention schedule.
Create and maintain a definite “Record of Unregistered Material” held by the unit.
Ensure that Information Support Officers are given appropriate Records Management Training upon their arrival.
Coordinate the efficient and timely review of registered files and ensure this review is carried out in accordance with instructions and policy;
Undertake the management and delivery of internal assurance activities to ensure essential IM activities are being undertaken within the unit and the necessary structures, controls and monitoring are in place to exploit and protect information assets.
Undertake regular audits of Team Sites, records, 'folders', user accounts and capacity usage, reviewing the utilisation of information to ensure that good practice is being followed, duplicated information is rationalised & appropriate links to Information are disseminated.
Support the iHub to deliver effective information management and direct their information priorities to meet unit requirements.
Responsible for communicating updates to Policy, Governance or legislation, delivery of new software, applications or hardware that will support the delivery of IM/IX/IA.
