The post holder is responsible for providing all clerical/admin and secretarial support to ICU department staff and clinical educator, including a good working knowledge of all Trust electronic systems, The post holder is required to deal with queries from patients, visitors and staff. Maintaining stock control of equipment and consumables specific to ICU is a fundamental part of this role.
Principle duties and responsibilities include but are not limited to:
• Maintain confidentiality, patient’s privacy and dignity and act in a courteous manner at all times.
• Ordering stationery and maintain adequate stock levels.
• Monitoring, via intercom system visitors and welcoming and directing them to the Unit. Dealing with all aspects of telephone queries and obtain general information from care providers/relatives.
• Admit/discharge/transfer patients and record in all relevant records eg Electronic Patient Record (EPR)/Cap Management.
• Obtain patient blood results ensuring they are available for the Consultant to see on the ward round.
• Provide admin/secretarial support to the ward and staff
• Order patient information leaflets/booklets and keep stands adequately stocked. Do any photocopying for department.
• Relaying any messages promptly.
• Act in a courteous manner.
• Help maintain an efficient, friendly service.
• Maintain confidentiality · Report all hazards, incidents and untoward occurrences to Manager.
• Undertake any other duties, as required, in line with the grade of the post.
• Maintain ward hygiene and environment.

• Admit patients coming into the department, using the electronic computer system, ensuring that all relevant patient information is taken, up to date and recorded accurately.
• Maintain confidentiality, patient’s privacy and dignity and act in a courteous manner at all times.
• To answer telephone enquiries from visitor’s, clinical staff from within CHFT and other organisations, obtaining relevant information where required.
• Deal with face to face enquiries from patients and clinical staff within the department.
• Order stationery and maintain adequate stock levels for effective functioning of the unit.
• To order, receive and check stock, ensuring the area remains adequately stocked.
• Monitor, via intercom system visitors and welcome them to the unit, directing them appropriately.
• Keep patient boards up-to-date with admissions, discharges and transfers, ensuring all relevant Electronic Patient Records (EPR) systems are kept up to date.
• Ensure patient case notes are filed accordingly and prepared for scanning on patient discharge in a timely manner.
• Provide admin/secretarial support to the ward and staff.
• Order patient information leaflets/booklets and keep these adequately stocked
• Do any photocopying for department..

• Understand the need for, and maintain, patient confidentiality.
• Maintain ward cleanliness and environment organisation.
• Liaise with members of the multi- disciplinary team .
• Assist with induction of new starters to the unit. Compiling relevant paperwork and assisting with any IT problems they many encounter.
• Assisting doctors, midwives and other staff with EPR/IT issues.
• Keep up-to-date with any new equipment that may need ordering, ensuring that stock levels are maintained appropriately to ensure patient safety.
• Complete trust fund forms for approval, liaising with charitable funds manager to arrange payment.
• Assist staff with communications between ward areas and departments.
• Collect, monitor and input medical device competencies for staff into the medical device data base. Keeping data base current and encouraging staff to complete these.
• Assist in all ward audits and support staff with new audit initiatives with creating new audit tools.
• Undertake any other duties, as required, in line with the grade of the post.
• Assist Clinical Educator with induction of new starters to the unit. Compiling relevant paperwork and assisting with any IT problems they many encounter.
• Assisting doctors, nurses and other staff with EPR/IT issues.
• Stock control of equipment and consumables specific to ICU, ordering/liaising with Procurement, keeping up to date with any new equipment that may need ordering. Ensuring that stock levels are maintained appropriately to ensure patient safety.
• Complete trust fund forms for approval, liaising with charitable funds manager to arrange payment.
• Collect, monitor, and input medical device competencies for staff into the medical device data base. Keeping data base current and encouraging staff to complete these.
• Daily update to the Critical Care Network data base – updating levels of care patients’ receiving o Assist in all ward audits, including audits that are only relevant to ICU.
