Training & Compliance Coordinator – Frog Island, Rainham
Salary: £34,500 per annum
37.5 hours per week – Monday to Friday
As Training & Compliance Coordinator, you will manage and book all training, which includes liaising with suppliers, managers, and employees. You will need to ensure all training records are maintained accurately and produce reports monthly. In this role, you will also log and respond to all complaints, compliments, and issues on site, ensuring that they are fully investigated and actions taken.
Other key responsibilities for the Training & Compliance Coordinator include:
1. Reporting Health, Safety, and Environmental issues to the Management Team, and where appropriate, to internal support services staff.
2. Conducting internal site inspections and ensuring documents are compliant for the purpose of audits with support from the Compliance Administrator.
3. Ensuring all reports from technical advisors are updated and reviewed annually in line with company SHEQ policy and ISO standards.
4. Creating document templates, checklists, and forms for business needs in line with ISO guidelines, including referencing.
5. Managing the LMS system for ELWA sites, liaising with central Learning and Development Teams.
6. Arranging ELWA staff health checks every 6 months and annually, liaising with SHEQ and Human Resources for referrals.
7. Providing reception cover in the absence of the Business Support Administrator, including setting up boardrooms, dealing with staff/public inquiries, and ordering stationary/consumables and PPE.
8. Taking notes for confidential and internal meetings.
9. Preparing documents for internal/external audits, following up actions with management, and communicating closed actions to third-party auditors. Managing the in-house Action Tracker to review and close out open audit actions, including chairing Action Tracker meetings.
10. Familiarising and supporting other departments by having back-of-house systems such as Assure, Guardian Portal, and Sypol COSHH system.
11. Supporting the Communications programme through internal social media, representing the contract with posts, articles, and polls, and ensuring performance metrics such as reads, likes, and comments increase.
12. Ensuring Competency Assessments are reviewed and updated as required in line with ISO standards and Company SHEQ Policy.
Essential Criteria for this role:
1. At least 2 years’ experience in an administrative role.
2. Understanding of ISO standards and their implications for a business.
3. Exceptional attention to detail.
4. High standards of performance for themselves and others, translating this into high-quality output.
5. Ability to work independently.
6. In-depth understanding of quality, health, safety, and environmental compliance.
7. Computer literate to a high standard with all MS Office packages.
8. Car driver (essential due to location and travel between sites and for the purposes of audits).
