Band 4 Patient Pathway Administrator (37.5 hours per week)
Monday – Friday 8:00am - 4:00pm
We are looking for a self-motivated, enthusiastic individual to join us as a Patient Pathway Administrator working in the Neurology Team. This post is crucial to the ongoing development of the service and would suit a candidate who has excellent organisational and communication skills with a strong secretarial background preferably within the NHS.
You will be expected to liaise with staff and colleagues at all levels. You will have proven secretarial skills with the ability to prioritise and manage your own workload to tight deadlines. You will need to demonstrate initiative and flexibility in your approach and be able to work in a pressurised and busy environment.
Detailed job description and main responsibilities
* Provide primary administrative support to all clinical staff, primarily consultants, and all patients under their care, including diary administration, correspondence support and other administrative duties as required.
* Act as a first point of contact on the telephone and by email for patients, relatives, GPs and any other relevant agencies, answering or re-directing queries in a timely manner, as appropriate.
* Use Trust digital transcription systems to produce high-quality clinical correspondence to inform referrers, patients and other relevant parties of patient pathway progress within local and national target timeframes.
* Open and prioritise incoming post, ensuring supporting information is available when appropriate. Take responsibility for ensuring urgent items are actioned in a timely manner.
* Ensure all relevant patient information is available in a timely manner and filed in the patient’s medical records, liaising with other departments and healthcare organisations as required.
* Maintain accurate and current filing systems and electronic databases.
* Work closely with the wider administrative team and clinical staff to ensure patients are admitted within local and national access targets.
* Assist the Outpatient bookings team with processing new referrals via the GP e-Referral system (ERS).
* Support the Unit Manager in responding to any patient advice and liaison service queries (PALS) or formal complaints by collating background information and conducting audits as required.

Education and Qualifications
* Competence in use of various computer software packages
* EPR trained (Training available)
Experience and Skills
* Previous experience within an administrative /PA role

* Highly organized and have the ability to coordinate and prioritise own workload
* Ability to work as part of a team
Interpersonal Skills
* Experience of dealing with stressed/upset individuals in an empathetic manner.
