The Opportunity
Convenient MD is seeking a highly organized and detail-oriented Recruiting Coordinator to join our growing team. Supporting a team of 7 recruiters, this person will play an essential role in helping our company achieve its ambitious hiring goals and help us build and shape the recruitment experience for both candidates and internal team members.
This is an incredible opportunity to build an exciting career in People Operations or Talent Acquisition. Based in Portsmouth, this role will be reporting directly to our Senior Director of Talent Acquisition.
Your Impact
* Recruitment Support
o Support and partner with recruiters, hiring managers, and candidates throughout the entire recruitment process.
o Own the written offer process and handle day-to-day offer creation.
o Act as a liaison between Talent and HR to ensure a seamless transition for new hires and proper payout of referral bonuses.
o As needed, assist with sourcing, resume reviews, initial phone screens, reference checks, and other parts of the hiring process.
* Talent Operations & Technology
o Own and manage the Talent inbox, responding to candidate inquiries, routing messages to the appropriate team members, and ensuring timely follow-up to support a positive candidate experience.
o Own current and future Talent tools (ATS, scheduling software, etc.).
o Maintain all third-party career sites (Glassdoor, Indeed, LinkedIn, etc.).
o Maintain Talent team resources, documentation, and vendor list.
o Manage and standardize all job postings on Greenhouse.
* Candidate Experience & Interview Coordination
o Own the improvement of the candidate experience, including project management of new resources and monitoring candidate experience feedback.
o Build, maintain, and report on candidate experience feedback surveys.
o Monitor and respond to candidate feedback and concerns on third-party career sites (Glassdoor, Indeed, LinkedIn).
o Maintain and update employer brand resources, including recruitment marketing materials, career site content, and internal messaging to ensure consistency and alignment with company values.
o Manage candidate travel logistics for executive-level candidates when needed.
* Specialist Projects & Administrative Support
o Support miscellaneous projects related to recruitment, employment branding, and cross-functional initiatives.
o Provide general administrative work as needed.
Who You Are
* Experience in similar roles: At least 1 year of experience, ideally in Human Resources, Recruitment, or as an Administrative Assistant.
* Driven and self-motivated: Eager to learn and grow in the People Operations/Talent Acquisition space, with enthusiasm for supporting a growing Talent team.
* Proactive and resourceful problem-solver: Thrives on tackling challenges, taking initiative on new projects, and leveraging available resources to find solutions.
* Adaptable and flexible: Able to seamlessly pivot between tasks and priorities in a fast-paced environment without losing focus or efficiency.
* Strong follow-through: Demonstrates a sense of urgency and ensures all tasks, communications, and processes are completed in a timely and thorough manner.
* Effective communicator: Excellent verbal and written communication skills, with the ability to build trust and rapport with team members, candidates, and hiring managers.
* Candidate-centric mindset: Prioritizes the candidate experience in all decisions and ensures candidates are thoughtfully considered throughout hiring processes.
* Organized and detail-oriented: Exceptional attention to detail and strong organizational skills, especially when managing multiple tasks simultaneously.
* Trustworthy and discreet: Maintains confidentiality and handles all candidate information with professionalism and discretion.
* Collaborative partner: A team player who builds strong relationships with hiring managers and works effectively across departments.
* Technically savvy: Proficient in Microsoft Office, particularly SharePoint, Word, and Excel. Experience with recruiting software is a plus!
