We are a small but strong team, established in 2020. We are looking for a driven, adaptable and reliable Executive Assistant to strengthen our team. The role will be based in Bristol in our Old Market incubator, close to Temple Meads train station. Flexible & hybrid working is possible. The role We are looking for a professional and organised self-starter who can thrive in a high growth business, with the right set of skills to take on a range of projects and work independently. You will be responsible for providing a complete administrative, organisational and support service, from daily calendar and meeting management to strategic and special projects. This position comes with significant responsibility as you will be assisting the three Partners and will often be the first point of contact on all matters. We are a busy team within a fast-paced environment and need someone with initiative who isn’t afraid to roll their sleeves up and get involved and can hit the ground running. An interest in VC or science would be advantageous. Key responsibilities Facilitating internal communications: proactive inbox management for the Partners including autonomously replying where appropriate, proactively coordinating extremely busy schedules for all the Partners, calendar management for all the whole team Readiness for meetings including briefings, preparing agendas, taking minutes and actions, Managing relationships with investors, portfolio companies, suppliers, University contacts and staff across other businesses and updating CRM database, Supporting on external communications including press releases and managing key networks such as LinkedIn, Broad administration tasks, Full event management of internal, Investor and Portfolio Company events, Ad hoc project management including award and grant applications, Creating marketing materials and presentations, Carrying out Office Manager duties including: Ensuring the office is tidy, in working order and a comfortable space to work in Managing office supplies inc. fruit & healthy snacks Creating, and ordering promotional materials Requirements Skills: Excellent communication skills Collaborator with a pro-active, can-do attitude Flexible approach – responds well to change and is comfortable with ambiguity Resilient, intelligent and personable Enthusiastic self-starter, able to take initiative Kind and attentive Organisational abilities, with an aptitude for planning ahead and prioritising effectively Demonstrable track record of discretion and maintaining confidentiality Experience: Experience in an EA/PA role in a similarly high-paced environment Excellent working knowledge and proficiency in Mac, G-Suite and ability to adapt to a variety of other software packages Knowledge of HR policies and administration (preferred) Benefits Private health insurance after probation period.
