An exciting vacancy is available as an Estates Administrator in the Estates department at Cardiff and the Vale College. This post will be based across sites.
Responsibilities include:
1. Liaise accordingly with tenants and prepare all information for submission to the same on a timely basis in accordance with current RICS Guidance for Service Charges.
2. Liaise directly with the operational estates team to ensure accurate and up-to-date information is available at all times.
3. Act as a point of contact for tenants' requests and queries in relation to their satisfactory occupation throughout the tenure periods.
4. Respond to any queries and challenges in connection with service charges and prepare detailed schedules as required for agreement and submission.
5. Liaise effectively with outside organisations when required, such as local authorities, private partners, and government bodies.
6. Deal with people issues in a positive manner and ensure client/customer satisfaction.
7. Liaise with contractors, consultants, and faculty/departments with regard to capital development and estate functions including catering and cleaning services.
8. Act as a central point of contact for capital projects and other capital development functions, resolving queries or referring to the Director of Estates or others as appropriate.
9. Diary management, dealing with telephone, e-mail, and correspondence, and arranging meetings including room arrangements and refreshments.
10. Preparation and word processing of correspondence, reports, agendas, and minutes and circulation of the same.
11. Attendance at meetings to take minutes.
12. Prepare documents, reports, and feedback to the Quality Department with regard to performance standards, benchmarks, and KPIs in connection with capital development, property issues, and cleaning and catering.
13. Welsh language skills are not essential but would be desirable for this role.
